Job Summary Rhode Island School of Design (RISD) seeks a Hiring Coordinator to join Continuing Education (CE). With a commitment to centering inclusivity, diversity, and equity, the CE Hiring Coordinator supports the CE Talent Acquisition and Business Operations Analyst by providing effective oversight of administrative functions, recruiting, training, planning and managing all CE teaching assistants and Pre-College Monitors across the three CE verticals. The coordinator manages time card processes and all relevant payroll issues. Additionally, they serve as a backup to the CE instructor hiring process, including managing all expense reimbursements and initiating invoice payment processing. The role liaises with RISD Human Resources (HR) office and other administrative offices, including Student Employment, Procurement, and Finance, fostering positive relationships and demonstrating respect and inclusivity. Essential Functions: Coordinate the recruitment, interviewing and training of all CE Teaching Assistants (TAs) and Pre-College Monitors. Collaborate with the CYP team to supply lists of TAs to supplement staffing needs at large Pre-College events such as Check-In day and exhibitions with TA students. Provide guidance, training, and instruction to Teaching Assistants (TAs), Monitors, and/or volunteers as assigned. Oversee the communication and management of onboarding and orientation for TAs, including identifying and replacing substitutes and addressing issues as they arise. Oversee and manage TA time cards, and liaise with payroll and student employment to troubleshoot issues as they arise. Communicate and provide guidance and support to all TAs and Monitors regarding hiring, onboarding, and payment questions. Work under the direction of CE's Talent Acquisition and Business Operations Manager and alongside staff from both the CYP and Adult verticals to coordinate summer staff hiring and coordination. Collaborate with CYP and Adult Program Managers on any special TA or instructor hiring needs. Under the direction of CE's Talent Acquisition and Business Operations Manager, follow institutional hiring procedures and serve as a backup for the CE instructor hiring process. Under the direction of CE's Talent Acquisition and Business Operations Manager, participate in special projects focused on improving the hiring, compensation, and employee (instructor, TA, etc.) processes in CE. Assist with additional tasks such as data entry, initiating invoices for payment processing, initiating instructor expense reimbursements, and/or instructor onboarding communications as directed by CE's Talent Acquisition and Business Operations Manager. Reconcile monthly CE Teaching Assistants payroll reporting. Additional Functions: Performs other related duties as assigned. Be available to work limited off-hours during the Pre-College program (5 weeks July-August), including Sunday nights from 5-6pm, and every weekday morning from 7-8:30am, to check on TAs calling out sick and assist in finding a substitute for the day. Required Knowledge/Skills/Experience Associate degree or equivalent combination of education and experience required. Experience working with databases and proficiency with relevant technology required; preference will be given to candidates with experience in student hiring, training and employment. Demonstrated commitment to working with a diverse population of students, instructors, and staff. Must be highly organized, able to work on long-term planning and immediate problem solving simultaneously, and have meticulous attention to detail. Must have the ability to work discretely with information of a confidential nature. Ability to anticipate needs, interpret and prioritize requests and follow up as needed. Must be innovative and solution-oriented, able to work independently and as a part of a highly collaborative team, in a very fast-paced environment.
