Job Responsibilities You will be the backbone of our daily operations, managing both financial records and general office administration. 1. Finance & Accounting (Excel-Based / System Migration) Maintain and manage day-to-day bookkeeping, accounts payable (AP), and accounts receivable (AR) using MS Excel. Prepare and process invoices, quotations, purchase orders, and supplier payments. Perform monthly bank reconciliations and monitor cash flow. Prepare monthly financial statements (P&L, Balance Sheet) for management review. Handle quarterly GST submission and coordinate year-end tax filings with our external corporate secretary/auditor. Manage staff claims, expense reimbursements, and monthly payroll processing (including CPF submissions). Bonus Project: Evaluate, propose, and spearhead the setup/migration of our current Excel records into a proper accounting software (e.g., Xero/QuickBooks) if deemed beneficial. 2. Office Administration & Operations Maintain proper digital and physical filing systems to ensure data compliance. Manage office inventory, corporate insurance renewals, and pantry/stationery supplies. Handle incoming corporate emails, mail, and phone inquiries. Liaise with external vendors, landlords, and government agencies (BCA, MOM, IRAS, etc.) when required. Provide ad-hoc administrative support to the founders/directors to ensure smooth daily operations. Job Requirements Experience: Minimum 2-3 years of hands-on experience handling full sets of accounts and office administration, preferably in a local Singapore SME. Technical Skills: Advanced proficiency in MS Excel (formulas, data management) is a must. System Knowledge (Optional but highly valued): Experience with cloud accounting software (e.g., Xero, QuickBooks) and the ability to set up/implement a new system from scratch. Qualifications: Diploma in Accounting, LCCI, ACCA, or equivalent. Mindset: A true self-starter. Because this is a solo admin/accounts role, you must be comfortable working independently and managing your own timeline.
