SUMMARY The Marketing & Operations Coordinator will play an integral role working across multiple agency verticals to support the overall operations and growth of the company. This individual will work hand in hand with the Director, Brand Consulting, and CEO/COO to support key company initiatives, including the launch and management of new ventures and company creative & marketing needs. The individual will also support the Brand Consulting division through client coordination and research project support. ESSENTIAL DUTIES AND RESPONSIBILITIES Support CEO in all administrative needs, including call scheduling, calendar management, and streamlining of daily work demands Work hand in hand with CEO to support operational needs for all ventures, including venue discussions, venue relationships, celebrity contracting, and additional needs as assigned by CEO Support CEO on venture market reviews, including strategic city locations and market-specific research Develop celebrity/talent management process for PIVOT-owned ventures and own the contract process with Celebrities, Talent, and Partners. Lead vendor management for all PIVOT-owned and operated ventures Assist the Brand Team with market research studies, POV documents, conference reports, and other documentation and activation execution as needed for clients On behalf of our brand consulting clients, coordinate hospitality programs and on-site activation logistics, ensuring sponsorships are executed seamlessly Collaborate and support Director of Digital & Social Media in developing PIVOT's social media needs and capabilities Partner with external website vendor(s) to manage ongoing updates and creative needs for the PIVOT website Assist in the management of PIVOT suites and ticket inventory, including management of Chase Center suite relationship, updating and providing reporting on the Chase Center C30 tracker, and sales tracking for invoice reconciliation Work in collaboration with COO to streamline company hiring, including job postings, interviews, interns, and potential onboarding needs Oversee office operations and facilities coordination (building management POC, supply procurement, and workplace maintenance needs) Support the COO with the administration and maintenance of internal systems and communication platforms, including Alta HQ, Slack, and PIVOT's internal website Support financial operations by processing checks, folios, and other financial documentation for review by the Finance team Assist the Executive Team with planning, coordination, and logistical execution of company-wide events, including the annual All Staff Retreat SUCCESS CRITERIA Ability to manage multiple operational needs in support of the CEO, Celebrity Pickleball Bash, and future TBD ventures Production of high-quality marketing and creative needs that support company objectives and brand guidelines Acts in the best interest of company objectives and works well with fellow team members and senior leadership Uses sound judgment in representing the company's values and objectives inside and outside of the office QUALIFICATIONS Proficiency in Photoshop, Canva, and/or other creative marketing applications Strong communication skills and experience working with clients and cross-functional teams. Ability to develop collateral and manage reporting to senior leadership. Business-savvy with a deep understanding of brand marketing and partnership development. Knowledge and understanding of the sports media landscape Excellent presentation, written, and oral communication skills Acute attention to detail, organization, and efficiency Experience using MS Office, Salesforce, and Google Suite WORK ENVIRONMENT This role operates in a hybrid work environment, working from the office 3-4 days a week. This role routinely uses a computer and its voice or video call capabilities. This role requires working long hours sitting and staring at a computer and talking via voice and video calls. PHYSICAL REQUIREMENTS While performing the duties of this job, the employee is regularly required to use a laptop computer. Specific physical abilities required by this job include sitting, standing, talking and hearing both in person and over the phone, and keyboarding.
