About the role

Company Overview We are a growing distributor specializing in orthopaedic sports medicine devices, surgical hardware, and implants. We operate out of a private estate/home-office setup and are looking for a highly versatile, trustworthy, and organized individual to support our business operations, manage our medical inventory, and oversee the maintenance of the property. Role Summary This is a unique, multi-faceted role combining sales administration, medical logistics, and property management. You will be the backbone of our daily operations-ensuring that orders from hospitals and clinics are processed accurately, surgical implants and instruments are dispatched on time, and our private office estate remains well-maintained, secure, and fully functional. 1. Sales Administration & Order Processing - Process incoming purchase orders, generate invoices, and issue delivery orders accurately. - Act as the point of contact for customer inquiries, coordinating with hospital procurement teams, clinic staff, and sales representatives. - Maintain and update customer databases, sales records, and pricing lists. - Assist in basic accounting tasks, such as tracking payments, following up on receivables, and preparing monthly sales reports. 2. Warehouse & Logistics Management (Medical Devices) - Manage the full cycle of inventory for orthopaedic medical devices, ensuring strict compliance with storage guidelines. - Carefully track batch numbers, lot codes, and expiration dates for all surgical implants and hardware. - Receive, inspect, and organize incoming shipments from overseas manufacturers. - Pick, pack, and coordinate the dispatch of devices for scheduled surgeries, ensuring 100% accuracy. - Conduct regular stocktakes and liaise with courier services for timely deliveries and returns. 3. Estate & Property Caretaking - Oversee the general upkeep, cleanliness, and security of the property/home-office. - Manage and maintain the swimming pool, including regular cleaning, chemical balancing, and scheduling specialized maintenance when necessary. - Coordinate with external contractors (landscaping, HVAC, pest control, pool specialists) and supervise their work on-site. - Ensure all estate utilities and facilities are in optimal working condition. Requirements & Qualifications - Prior experience in sales administration, logistics, or warehouse management. Experience handling medical devices, healthcare products, or strict-batch inventory is highly advantageous. - Highly meticulous and detail-oriented (crucial for handling surgical inventory and order accuracy). - Physically capable of handling warehouse duties, including lifting and organizing boxes of inventory. - Proactive, hands-on, and willing to take ownership of property maintenance tasks. - Trustworthy and reliable, with a strong sense of responsibility. - Proficient in basic MS Office applications (Excel, Word) and comfortable learning inventory management software. - Class 3 driving license to assist with urgent medical deliveries if required.
