Responsibilities

  • Reception: Greet and assist visitors, ensuring a professional and friendly first impression
  • Manage calendars and scheduling for all conference rooms
  • Oversee meeting and event coordination including services, setup, catering, and technology needs

  • Observes the company culture, employee behavior and the environment to identify experiential needs
  • Captures individual preferences of colleagues and guests for future visits and thinks creatively of ways to accommodate any special requests
  • Conducts quality control walkthroughs to address immediate issues, pre-empt potential future issues and identify areas for improvement
  • Support ad-hoc administrative and facilities tasks as needed
  • Office staff support includes greeting guests, helping administrative staff with daily tasks, sending, and receiving packages and mail, coordinating lunches Business and personal errands for Executive staff on occasion.

Requirements

  • High school diploma or equivalent required.
  • Minimum of 1 year of experience in hospitality, reception, office services, workplace experience, or a similar customer-facing role in a professional or corporate environment.
  • Proficiency with Microsoft Office Suite and the ability to learn workplace technology systems.
  • Strong verbal and written communication skills.
  • Professional appearance and commitment to delivering exceptional customer service.
  • Key Competencies
  • Attention to detail : Ensure all work is delivered with meticulous attention to detail (particularly important for immediate service issues and executive requests).
  • Organizational Skills : Manage time effectively to balance multiple tasks, stay hyper-organized, and succinctly prioritize Timely follow-ups are essential to the role.
  • Communication : Be able to swiftly act and communicate the progress of tasks to the employee cohort, team, and Exhibit excellent interpersonal skills in every interaction.
  • Efficiency : Streamline & continuously improve all processes to enhance the efficiency and effectiveness of the Operations
