About the role

The Graduate College at Arizona State University is looking for a flexible, detail oriented, highly organized and customer-service focused Graduate Format and Curriculum Advisor. Under general direction, this position performs a variety of tasks for the review of submitted final graduate student documents in preparation for graduation to ensure consistency with established ASU format standards, as well as tasks related to the graduate section of the ASU academic catalog and graduate curriculum/program development. Essential Duties: Acts as a liaison on behalf of the Graduate College, monitoring and responding to a high volume of inquiries from students, faculty, advisors and outside entities Thesis and Dissertation Coordination Performs reviews of submitted thesis and dissertation documents against established guideline requirements for publication and provides guidance to graduate students via email, phone, and in person to identify areas for correction and ensure documents are revised accordingly Performs duties related to the format process, such as verifying scheduling of student's defense to ensure completion of all requirements prior to graduation; hold scheduled office hours and zoom sessions for student document questions; review/respond to format Salesforce cases; oversee the updating and the creation format-related forms, maintaining student records in student databases, reviewing petitions for exceptions or changes, and conducting research on requests for format extensions Prepares and delivers format workshops, presentations, training materials and video Works with the Graduate College Communications Team to create, edit, publish and communicate format deadline and defense results information to students, staff and faculty Curriculum and Program Development Support Provides administrative support and responds to unit inquiries for the Curriculum and Program Development area Performs initial review of curriculum proposals to ensure compliance with established standards Maintains and tracks proposals received for graduate curriculum development Performs other duties related to the Curriculum process, including assisting in the review of new courses and course change requests, assisting in the updating of the graduate portion of the academic catalog, researching and preparing reports, and retrieving archival information regarding approved graduate programs Administrative and Reporting Duties Responsible for semesterly submissions of the National Science Foundation Survey of Earned Doctorates (SED) on behalf of the Graduate College Provides contact point for enrolled student information Serves as back-up for other team members as needed Provides editing/document review as needed for Graduate College administration Performs other duties as assigned to support the Graduate College

Requirements

  • Associate's degree and one (1) year of experience appropriate to the area of assignment/field; OR, Any equivalent combination of experience and/or training from which comparable knowledge, skills and abilities have been achieved.

  • Bachelor's degree and one year experience preferred; master's degree a preference
  • Experience in accurately reviewing and proofreading documents and working with excellent attention to detail
  • Experience in a higher education environment
  • Experience with the ASU Thesis/Dissertation format and defense process
  • Experience with scheduling software
  • Experience tracking information in databases or similar methods
  • Experience working both independently and in a collaborative team environment
  • Experience working effectively in an environment subject to tight deadlines and the ability to adapt to quickly changing priorities
  • Experience building and maintaining effective relationships with a variety of stakeholders at multiple levels of an organization
  • Evidence of effective verbal and written communication skills; experience presenting to groups
