Business Overview: The Institutional Distribution business provides a comprehensive range of flexible, high-quality solutions for Canadian institutional plan sponsors and their plan members. Through our team of sales, relationship management and consultant relations professionals, Institutional Distribution offers solutions for corporate and public defined benefit and defined contribution pension plans, endowments and foundations that cover all major and specialized asset classes. As an integral member of the Institutional Distribution team, you will work closely with various VPs and their teams to support the day-to-day operations of the department. You will interact with all levels of the organization, both internal/external clients, and act as the primary contact for all administrative needs, requests and inquiries.

Responsibilities

  • Provide administrative support for various Institutional Distribution VPs and their management team
  • Plan and coordinate client meetings, special functions and events for industry professionals, both on and off site
  • Support the coordination and administration of marketing campaigns
  • Manage the continuous data integrity process for sales reporting requirements including preparing and revising presentations, reports and databases
  • Run reporting, and manage other ad-hoc requests for the team
  • Participate in the development and implementation of special projects as assigned

Requirements

  • Minimum of 1-2 years' experience in an administrative assistant role
  • Completion of post-secondary education (college diploma or university degree)
  • Completion of or enrollment in the Canadian Securities Course (CSC) or the Canadian Investment Funds Course (IFIC) is an asset
  • You have a strong sense of professionalism and diplomacy with demonstrated ability to establish and maintain
  • relationships with internal and external business partners
  • You possess demonstrated strength in time management and organizational skills with the ability to multi-task in a fast-paced work environment with minimal supervision
  • You are highly motivated, detail-oriented, and eager to learn
  • You are proficient with the MS Office Suite including PowerPoint and Excel, and able to readily learn new systems, Salesforce would be an asset.

  • Base Salary and Discretionary Performance Bonus: A competitive annual wage range of $71,000 to $81,000, based on your experience and qualifications.

Job Description Please note: Current work authorization for Canada is required for all openings This is a regular, full-time role You will be working on a flexible hybrid schedule as part of Fidelity's dynamic working arrangement The work location for this role is 483 Bay Street in Toronto until approximately late 2026 when the work location will change to the new Mississauga office at 3 Robert Speck Parkway.
