About the role

To support the Vetting lead in the effective execution of Vetting Desk functions, ensuring timely coordination of RightShip inspection readiness, closure management, performance monitoring, and continuous improvement of fleet vetting outcomes. The role focuses on operational execution, process ownership, and performance tracking, enabling the Vetting Desk to maintain consistency, reduce risk exposure, and support fleet inspection validity and acceptance. ROLES ACCOUNTABILITIES: 1. Oversee the booking, scheduling, and administrative management of approximately 180-200 RightShip inspections annually, ensuring compliance with regulatory timelines and internal requirements. 2. Lead inspection coordination activities, including documentation review, root cause analysis (RCA), and monitoring of corrective and preventive action (CAPA) implementation until closure. 3. Manage the preparation and submission of PSC closeouts, including identification of root causes and development of effective preventive actions to minimize recurrence. 4. Ensure consistency and adherence to quality standards across the vetting process, driving fleet-wide performance improvements, particularly in critical risk areas such as ISM compliance, machinery readiness, and mooring safety. 5. Liaise effectively with ship Masters, Chief Engineers, Business Units, and external stakeholders (including RightShip and port authorities) to facilitate smooth communication, timely resolution of issues, and inspection readiness. 6. Analyze inspection data, trends, and recurring findings to identify systemic gaps and recommend targeted preventive measures to enhance fleet safety and inspection outcomes. 7. Support the development and continuous improvement of Standard Operating Procedures (SOPs), guidance documents, and training programs related to vetting and RightShip compliance. 8. Assist in preparing periodic reports and performance dashboards for senior management, covering inspection status, findings trends, safety score performance, and risk mitigation initiatives. Analyze inspection data and trends to identify recurring issues and recommend preventive actions. KEY SKILLS AND CAPABILITIES: Technical skills 1. Knowledge of international shipping regulations, vetting procedures, and safety management systems (ISM). 2. Prior experience with data trend analysis, RCA, and CAP processes is recommended. Professional skills 1. Strong communication and interpersonal skills, able to effectively interact with shipboard and shore teams, as well as external stakeholders. 2. Proven leadership skills with experience managing small teams. 3. Excellent organizational and multitasking abilities; detail-oriented with high accountability. 4. Proactive problem-solving and decision-making capabilities. 5. Good computer skills including MS Office - 365, RMS, RightShip portal, and data analysis tools. PROFESSIONAL EXPERIENCE AND EDUCATION : 1. Hold a valid Master (FG) Certificate of Competency or Certificate of Competency II/2 (Master / Chief Mate) in accordance with the STCW Code. 2. Alternatively, hold a valid MEO Class I Certificate of Competency or Certificate of Competency III/2 (Chief Engineer / Second Engineer) in accordance with the STCW Code. 3. Possess a minimum of one (1) years' experience in ship management, vetting, or maritime operations, with demonstrated exposure to RightShip or equivalent vetting and inspection processes (applicable to Chief Mate / Second Engineer backgrounds). Fresh Candidates from Sea can be considered basis aptitude and skills. 4. Demonstrated ability to prepare investigation reports, inspection responses, and safety bulletins in a clear, structured, and professional manner. Ability to work effectively under pressure, manage competing priorities, and consistently meet tight operational deadlines.
