About the role

Reporting to the Process Safety Superintendent, the Refinery Document Coordinator plays a key role as the custodian of controlled refinery documentation, including General Work Instructions, Process Descriptions, and Critical Safety Procedures. This position is responsible for coordinating and ensuring document reviews are completed in accordance with internal refinery requirements. The role supports the development and maintenance of document quality and control processes, while also assisting in the delivery of training and development programs related to document management for the workforce. Additionally, the position serves as the central point of coordination for the administration of process risk assessment activities and the refinery's Management of Change (MOC) systems.

Responsibilities

  • Promote and uphold workplace health and safety practices, including participation in Ampol safety systems such as Loss Prevention System (LPS).
  • Coordinate the development, review, and ongoing maintenance of controlled documents, including procedures, process descriptions, standing orders, and operational instructions.
  • Act as custodian of refinery documentation and records, ensuring critical documents are current, maintained, and compliant with quality requirements.
  • Provide administrative support for Process Risk Assessments (PRA) and Refinery Management of Change (RMOC) systems.
  • Support operational administration activities, including document creation, distribution, updates, and communication of revised versions to personnel.
  • Contribute to continuous improvement of training, learning, and competency resources, while producing high-quality documentation aligned with organisational standards.

  • Demonstrated experience in Administration/Learning & Development roles
  • Knowledge and experience in Learning and Development systems and processes
  • Understanding of operational planning issues.
  • Practical knowledge of safe work practices and procedures.
  • Well-developed organisational skills and the capacity to be flexible in balancing priorities to meet/exceed refinery/production needs.
  • Demonstrated planning and co-ordinating skills.
  • Strong communication skills - both written and verbal.
  • Proficient in Microsoft Office applications (Word, Excel), SAP, LMS, Doc Approval, DMS, LPS.
