About the role

The Analyst role in the CEO Office is a force multiplier for the executive team of Avathon, a fast-scaling, native Physical AI company. This role sits at the intersection of strategy, operations, and technology, you will be the connective link that keeps critical initiatives on track, surfaces ground-level intelligence to the Chief of Staff, and systematically removes the friction that slows high-performing teams down. Responsibilities

  • Initiative Tracking & Visibility
  • Own the single source of truth for all critical projects and strategic initiatives across the CEO Office.
  • Design and maintain real-time dashboards and status reports that give the Chief of Staff ground-level visibility including early signals of risk and blockers.
  • Run a disciplined cadence of follow-ups, and escalations to ensure nothing slips through the cracks.
  • Translate ambiguous priorities into structured workstreams with clear owners, milestones, and measurable outcomes.
  • Strategic Facilitation & Implementation
  • Bridge the gap between strategic decisions and on-the-ground execution - turning direction into action plans that teams can actually execute.
  • Prepare pre-read materials, briefing notes, and decision memos for executive meetings; capture and track outcomes.
  • Support the Chief of Staff in facilitating the implementation of strategic priorities across functions.
  • Manage cross-functional dependencies and work with the CEO office of other tracks in Product Engineering, Forward Deploy AI Engineering, Sales & Marketing
  • Operational Excellence & Process Optimisation
  • Identify, diagnose, and fix operational bottlenecks that slow teams down - from meeting structures to approval loops to reporting overhead.
  • Introduce and embed best practices across teams, creating sustainable, repeatable processes that are sustainable.
  • Map and redesign workflows end-to-end, with a bias toward elimination before automation.
  • Deploy AI-driven solutions and Gen AI automation tools (no-code/low-code platforms, workflow orchestrators) to streamline repetitive work and surface insights faster.
  • Free up bandwidth for the executive team by proactively absorbing coordination, synthesis, and follow-through work.
  • Stakeholder Management & Influence
  • Build trusted relationships across all levels of the organisation - from engineers and product managers to senior leaders.
  • Drive alignment and buy-in for operational changes without relying on formal authority; lead through credibility, clarity, and consistency.
  • Navigate ambiguity and competing priorities with maturity, keeping stakeholders informed and engaged.
  • Represent the Chief of Staff in cross-functional forums and acting as a proxy where needed.
  • Data, Reporting & Insight
  • Build and maintain dashboards and scorecards that track results, business-critical process & outcome KPIs, hiring plans, initiative health, and operational metrics.
  • Synthesise data from multiple sources into crisp executive-ready narratives that carries insight-driven stories with clear recommendations.
  • Use AI tools to accelerate research, analysis, and reporting cycles.
  • Required Experience

Requirements

  • 3-6 years of experience in Chief of Staff office / COO office, business operations, or a high-growth startup environment.
  • Demonstrated ability to manage multiple complex workstreams simultaneously without losing detail or momentum.
  • Proficient in building dashboards, trackers, and reports using tools like Claude, Notion, Airtable, Google Sheets, Excel,
