Responsibilities
- Coordinate complex scheduling for client, prospect, and internal meetings, partnering closely with executives, clients, prospects, and internal administrative teams to ensure efficiency and accuracy
- Prepare and organize materials for external client and prospect engagements
- Arrange domestic and international travel and support related expense reporting processes
- Support conference and event logistics, including registration, payment processing, attendee tracking, and coordination with conference organizers
- Maintain and update contact records within CRM systems and generate reports as needed
- Collaborate with the broader administrative team to support firmwide initiatives and evolving business needs
- Provide support on special projects and ad hoc requests as required
Requirements
- Prior administrative experience within financial services preferred
- Advanced proficiency in Microsoft Outlook and Microsoft Office
- Familiarity with CRM systems and event management platforms a plus
- Proven experience coordinating extensive international travel
- Strong organizational skills with exceptional attention to detail
- Ability to manage competing priorities with professionalism and discretion
- Proactive, dependable, and capable of working independently
- Collaborative mindset with a strong sense of ownership and accountability
