About the role

The Recruiting Operations Coordinator is the operational backbone of Postman's recruiting function. In this role, you will ensure that every search runs smoothly from open to close - keeping interviews scheduled, data clean, feedback flowing, and candidates well-informed throughout their experience. This is an ideal role for someone early in their career who is organized, detail-oriented, and excited to build foundational expertise in talent acquisition at a fast-growing technology company. You will work closely with recruiters, hiring managers, and candidates, and will play a direct role in how Postman is perceived as an employer.

Responsibilities

  • Interview Coordination
  • Own end-to-end interview scheduling across all active roles, coordinating availability between candidates, interviewers, and hiring managers with a high degree of accuracy and responsiveness
  • Send timely confirmations, reminders, and logistical details to all interview participants
  • Manage reschedules and last-minute changes with professionalism and minimal disruption to the process
  • Proactively identify and solve scheduling or process bottlenecks, continuously improving recruiting workflows and coordination processes
  • Data Integrity & ATS Hygiene
  • Audit active job requisitions to ensure all required fields are complete and accurate in the ATS - including job details, compensation bands, stage statuses, and interviewer assignments
  • Flag and resolve data gaps in collaboration with recruiters before they affect reporting
  • Ensure every closed role has a complete and accurate record before it is archived
  • Feedback & Interview Completion
  • Monitor interview completion rates and follow up with interviewers to ensure feedback is submitted within expected SLAs
  • Track which interviews have been recorded and flag any gaps to the relevant recruiter
  • Maintain a real-time view of where feedback is outstanding across all active searches
  • Candidate Experience & Surveys
  • Deliver a high-touch, candidate-first experience across every stage of the interview process
  • Coordinate the distribution of candidate experience surveys at key touchpoints in the process
  • Track response rates and flag low engagement to the recruiting team
  • Compile survey results on a regular cadence and summarize key themes for review
  • Employer Brand Monitoring
  • Monitor Glassdoor, LinkedIn, Blind, and other relevant platforms for new candidate and employee reviews related to the recruiting and interview experience
  • Surface notable feedback to the recruiting team on a regular basis
  • Help maintain the accuracy of Postman's employer profiles across platforms
  • Metrics & Reporting
  • Collect and organize data on completed roles, including time to fill, source, offer acceptance, and interview-to-offer ratios
  • Prepare regular metric summaries for the Head of Recruiting
  • Support the team in ensuring data is ready and accurate for monthly and quarterly reporting cycles
  • About You

Requirements

  • Bachelor's degree in any discipline; coursework or internship experience in HR, business, communications, or operations is a plus but not required
  • 0-1 years of professional experience; strong internship or project-based experience is equally valued
  • Exceptional attention to detail - you catch the things others miss
  • Strong written communication skills; you can write a clear, professional message to a candidate or a senior hiring manager with equal ease
  • Comfort with tools like Google Workspace, spreadsheets, and calendar management; experience with an ATS (Greenhouse, Lever, Workday) is a bonus
  • A collaborative, low-ego working style - you understand that your work makes everyone around you more effective
  • Curiosity about how recruiting works as a function and interest in growing within talent acquisition or HR operations o
