Job Summary The Facilities Administrator is responsible for reviewing and processing invoices, managing contracts and insurance certificates, and maintaining SharePoint and contact lists. This role includes handling mail, managing office supplies, signing in contractors, and providing backup support for facilities. Additionally, the Facilities Administrator ensures the smooth operation of administrative tasks, performs filing duties, and occasionally handles light lifting. Role Description Invoice review and processing Managing contracts and insurance certificates Maintaining SharePoint and updating contact lists Handling mail pickup and review Managing office supply inventory and ordering via internal processes Signing in contractors through the visitor system Providing backup support for facilities and taking on additional responsibilities as needed Performing filing duties Conducting occasional light lifting Ensuring smooth operation of administrative tasks Behaviors and Competencies Communication: Can communicate simple ideas and information clearly. Skill Level Requirements Overseeing the organization and maintenance of contracts and insurance certificates to ensure compliance and accessibility. - Basic Experience in utilizing Microsoft SharePoint for document management, collaboration, and workflow automation to enhance team productivity and information sharing. - Basic Experience in managing and maintaining computer systems and networks to ensure optimal performance and security. - Basic Understanding of the processes involved in creating invoices and managing credit memos to ensure accurate financial transactions and records - Basic. Efficiently managing the collection and review of incoming mail to ensure timely and accurate processing. - Basic Other Requirements Completed High School Diploma or GED Experience in/with Microsoft office tools preferred The base salary range for this position is $45,000 - $50,000. The estimated on-target earnings, or OTE, which includes a base salary, are $45,000 - $50,000. The compensation for this position is dependent on job-related knowledge, skills, experience, and market location and, therefore, will vary from individual to individual.
