Job Summary The Manager of Secretaries manages the overall operations of the Support Services Department and the day-to-day delivery of secretarial and administrative support services to clients. Job Responsibilities Oversees the Support Services Department and takes an active role in planning and implementing departmental goals and objectives with the assistance of the Support Services Supervisor. Meets regularly with the Support Services Supervisor to monitor workflow of all department staff, ensuring the most appropriate resources are utilized, customer needs met, and adequate coverage/support is provided. Conducts regular follow-up communications with customers regarding service quality. Continually evaluates and improves existing and new programs and services to increase cost-effectiveness, quality and efficient use of resources. Provides oversight in the maintenance of the Support Services Intranet page. Reviews monthly metrics for integration, tracks trends, and recommends changes as appropriate. Reviews and approves attorney/secretary assignments. Supervises and develops Client Services Secretaries and members of the ASG. Evaluates staff training and development needs and implements programs to address the needs. Oversees Support Services training for all new secretaries. Conducts employee performance development reviews. Provides administrative and technical direction to the Support Services staff. Actively participates in the recruitment, orientation and ongoing development of Support Services staff by participating in interviewing and selection process. Continually identifies ways and means to reduce costs of operations while increasing service, timeliness and quality. Knowledge, Skills and Abilities Strong interpersonal and communication skills (both verbal and written) Possess sound influence and negotiation skills. Ability to conceptualize, organize, plan, implement and evaluate programs and services. Ability to develop and maintain effective business relationships across all levels of the firm. Ability to analyze qualitative and quantitative data to create information, which is meaningful to management. Strong knowledge and proficiency in Microsoft Office Suite. Education This position requires a bachelor's degree. A master's degree may substitute for some work experience. Equivalent training and experience may substitute for education.
