Responsibilities
- Handle inbound and outbound customer communications through phone calls, WhatsApp and SMS.
- Follow up with new customer enquiries and assist in converting them into appointments or online purchases.
- Conduct call-outs to existing, past or absentee customers for appointment booking, rebooking and customer follow-up.
- Use approved scripts and service information to explain appointment options and administrative steps clearly.
- Book customer appointments accurately based on customer preferences, clinic availability and operational guidelines.
- Assist with rescheduling no-show, cancelled, overbooked or under-booked appointment slots to improve clinic appointment flow.
- Issue purchase invoices accurately and promptly in real time after sales or booking confirmation.
- Support tracking of leads, appointment outcomes, campaign responses or operational audit checks when required.
- Attend training and apply standard procedures for system usage, customer communication and documentation accuracy.
Requirements
- Minimum 1-2 years of experience in telesales, customer service, call centre, clinic administration, beauty, aesthetics, wellness, retail or lifestyle service sectors is preferred.
- Candidates with strong communication skills and willingness to learn may also be considered.
- Comfortable with outbound calls, WhatsApp communication and follow-up work.
- Able to work the afternoon shift from 12.00pm to 9.00pm .
- Proficient in English. Ability to communicate in a second language is preferred to support Mandarin-speaking clients.
- Good attention to detail, especially in appointment booking, invoice issuance and customer record updates.
- Comfortable using computerised systems, online booking platforms, CRM tools, spreadsheets or digital communication platforms.
- Able to work independently in a remote or hybrid environment where applicable.
- Organised, responsive and able to manage multiple customer cases within the same shift.
- Willing to learn about medical aesthetics services, internal workflows and customer service procedures.
