About the role

We are seeking a highly organised Activations Executive to support the planning and execution of AAMS awards, conferences and membership events. This is a hands-on role focused on logistics, systems setup and operational coordination. You will work closely with the Head of Activations to ensure events and judging processes are executed accurately and efficiently. Your Scope of Work 1. Event Planning & Execution Coordinate venue logistics, AV setup, registration counters and on-site Activations. Plan and execute AAMS industry awards, conferences and membership events i.e. networking events and roundtables. Manage production materials and printed assets, such as banners, posters, trophies etc. Support rehearsals and run-of-show execution. Ensure events are delivered according to operational timelines. 2. Awards & Judging Activations Set up and manage entry and registration portals. Configure and ensure judging portals are fully operational prior to judging sessions. Coordinate in-person judging logistics i.e. venue set-up, materials and score management. Collate and tabulate judges' scores accurately. Ensure confidentiality and integrity of judging processes. 3. Membership & Conference Events Manage speaker logistics including briefing materials, slide collection, scheduling, and on-site coordination. Oversee delegate registration and attendance reporting. Ensure smooth front-of-house Activations during events. 4. Partner & Vendor Coordination Liaise with vendors, venues and production partners to ensure operational requirements are met. Coordinate production partners, printers and venue teams. Support fulfilment of sponsor deliverables from an Activations standpoint. 5. Finance & Administration Track event expenses and purchase orders. Monitor outstanding payments and maintain organised documentation of contracts and invoices. Prepare post-event reports.

Requirements

  • Minimum 1 year experience in events management or project coordination.
  • Strong organisational and time management skills.
  • Proficient in Microsoft Office (especially Excel).
  • Familiar with Canva and Adobe is an advantage.
  • Highly detail-oriented (accuracy is critical).
  • Strong written and verbal communication skills.
  • Comfortable working in a fast-paced environment.
  • Willing to work occasional evenings during events.
