Responsibilities

  • Maintain the library catalog and administrative records for collections, contracts, and invoices, tracking order and renewal dates, and ensuring documentation is complete, current, and accessible.
  • Help maintain access to electronic resources by assisting with password/access issues, troubleshooting common user issues, and escalating vendor/platform problems as needed.
  • Support knowledge organization tasks such as updating internal research guides, adding/maintaining metadata, and helping keep shared repositories accurate and current.
  • Create and maintain simple tracking logs and operational reports (e.g., request volume, turnaround time, usage, and common issue categories) to support service management.
  • Assist with current awareness and monitoring (e.g., tracking legal and industry news, alerts, and updates) and distribute summaries or alerts to relevant stakeholders.
  • Coordinate with vendors and internal teams on renewals, resource changes, and administrative requests, ensuring updates are documented and communicated.
  • Contribute to process improvements by identifying recurring issues, documenting standard operating procedures, and suggesting workflow enhancements.
  • Assist with document delivery and source retrieval by locating materials in firm subscriptions and public sources and coordinating delivery to attorneys and staff.
  • Participate in training and ongoing professional development to build proficiency with legal research tools and library services.
  • Participate in research as needed and appropriate.

Requirements

  • Bachelor's degree required.
  • Coursework or experience in library/information services, legal studies, paralegal studies, or a related field is a plus; MLIS/MSLIS or JD is preferred but not required.
  • Strong customer service mindset with a professional, responsive approach to supporting attorneys and staff.
  • Excellent organization, attention to detail, and ability to manage multiple requests with shifting priorities.
  • Comfort learning and working in online research platforms; familiarity with tools such as Westlaw, LexisNexis, Bloomberg Law, or similar is helpful but not required.
  • Proficiency with Microsoft Office (especially Outlook, Word, and Excel); ability to produce basic tracking and reporting.
  • Clear written and verbal communication skills, including the ability to summarize findings and document processes.
  • Ability to work independently in a remote environment while collaborating effectively with a distributed team.
  • Reliable internet connection for virtual working.
