Responsibilities

  • HQ Operations Leadership: Oversee the daily operations of the San Francisco HQ, and 3 other remote offices, ensuring the office is fully functional, visually impeccable, and aligned with company culture and aesthetics.
  • Vendor & Contract Management: Act as the primary point of contact for building management, external vendors, and contractors. Negotiate SLAs, manage contract renewals, and evaluate vendor performance.
  • Space & Occupancy Planning: Manage space planning initiatives. Manage occupancy software, analyze seating utilization data, and strategize for future growth or footprint optimization.
  • Budget & Asset Management: Manage the HQ workplace budget, including office supplies, equipment, catering, and event spend. Oversee procurement and asset tracking.
  • Global Compliance & Safety: Implement, and monitor facility safety, emergency preparedness, and building security protocols. Maintain and supervise global departmental audit schedules to ensure cross-office compliance.
  • Internal Systems Ownership: Manage and optimize Workplace tech stacks, including internal ticketing systems (JIRA), security/access control systems, and the corporate intranet directory.
  • Event Strategy & Culture: Partner global workplace manager to plan, coordinate, and execute internal company events, culture initiatives, and localized internal communications.

Requirements

  • Experience: 4-5 years of experience in workplace services, facilities management, or corporate operations, with at least 1-2 years in a supervisory or management role (ideally within a tech or fast-paced corporate environment).
  • Project Management: Proven track record of managing office projects, vendor relationships, and budgets from conception to execution.
  • Strategic Thinking: Ability to look beyond daily tasks to analyze workplace data (occupancy, ticketing trends, spend) and implement long-term improvements.
  • Communication & Influence: Exceptional interpersonal, oral, and written communication skills; comfortable interacting with executive leadership, global team members, and external partners.
  • Problem-Solving Skills: A proactive, solutions-oriented mindset with the ability to manage multiple high-priority deadlines under pressure.
  • Technical Proficiency: Advanced proficiency with Workplace tech platforms (JIRA, occupancy planning tools, access control systems) and productivity suites (Google Workspace, MS Office)
  • The expected annual base salary range for this position is $101,750 to $118,250.
