Posted Job Title Onboarding Center Specialist Job Profile Title Administrative Coordinator Job Description Summary The Onboarding Specialist meets with all new hires in person to complete Form I-9s and other onboarding tasks. They answer general first-day questions, assist with Penn systems, and provide guidance to new hires who need to apply for a Social Security number or update their hire records. The Specialist also follows up with new hires who have outstanding documentation and supports University compliance related to work authorization for foreign nationals. In addition, the Specialist assists with other compliance activities, including reporting and communicating with new hires. They respond to onboarding inquiries in collaboration with the Penn Employee Solution Center and maintain template responses within the CRM system. The Specialist serves as a subject matter expert and point of contact for Form I-9 auditing and data quality. Job Description Job Responsibilities Assist with ongoing compliance communications, including assisting with routine reports, responding to inquiries regarding compliance requirements, etc., support compliance initiatives. Maintain internal procedural documents. Update as necessary. Correct employee information as needed to facilitate onboarding. Confirm personal information and update or approve updates executed by Workday Operations Give guidance and answer questions on the use of Workday, university policy, procedures, work life, etc. Provide proactive customer service to all new hires. Complete Form I-9 and E-Verify tasks, including, but not limited to examining documentation, completing Sections 2, and Supplement B reverification of Form I-9. Provide direction for those who need to acquire a social security number and where to apply. Execute other demographic updates as required (i.e., name, gender, marital status changes). Review and remediate Forms I-9 and complete employee outreach as needed. Respond to onboarding inquiries in Solution Center. Monitor onboarding canned responses and update as necessary. Develop and maintain strong knowledge of federal regulations related to Form I-9, E-Verify, work authorization for foreign nationals. Maintain expertise in Workday and other relevant applications. Perform additional duties as assigned
