Job Description: Brown University's School of Engineering is seeking an Administrative Coordinator, Office of the Dean, to support the office of the School's new Executive Dean. This position provides critical, high-level coordination of activities with the School of Engineering's Dean's leadership team. The incumbent serves as the central liaison between the Executive Dean, Associate Deans, faculty, students, staff and other internal and external constituents with whom the Leadership Team interacts. The Administrative Coordinator proactively manages scheduling and administrative support for the Executive Dean, Finance and Administration. They support high priority Dean's Office meetings and events. The incumbent assists the Associate Dean of Program and Planning; Associate Dean for Diversity, Equity and Inclusion; Senior Associate Dean for Academic Affairs; Senior Associate Dean for Research and Strategic Initiatives as needed and serves as a back up to the Executive Assistant and other Coordinators in the Dean's office. The incumbent must maintain the strictest confidentiality while working collaboratively with colleagues to ensure accurate, proactive information sharing and appropriate transparency throughout the School. The successful candidate, as a minimum, should have the following background: Education and Experience Bachelor's degree and t hree years of relevant administrative experience or equivalent combination of education and experience. Job Competencies Strong organizational, administrative and time management skills. Initiative and judgment to independently problem solve and prioritize workload in a multi-task environment while maintaining careful attention to detail. Ability to work independently and implement short and long-term goals independently, but also as a strong team member when the situation warrants. Strong customer service orientation with very high level of oral and written communication and interpersonal skills with the ability to elicit and communicate information in a clear, informative and concise manner. Confident public relations. Very high level of computer expertise and continued interest in maintaining skills: Computer proficiency in word processing, spreadsheets, computerized accounting, database systems including Microsoft Word, Excel and the Internet. Demonstrated editing and proofreading skills. Ability to interact effectively with a wide range of internal and external constituents and to develop and maintain effective working relationships with individuals and organizations reflecting a broad range of identities, perspectives and experiences. Proficiency with Zoom, WebEx, and other virtual video conference platforms. Strong analytical, research and problem-solving skills. Thorough knowledge of office systems (records maintenance, procedures, etc.). Detail orientated with a high level of accuracy. Ability to work under pressure and exercise tact, discretion, judgment and ability to prioritize task completion. Ability to handle sensitive, confidential information in a professional, discreet and diplomatic manner. Demonstrated ability to support a community of diverse perspectives and cultures in an inclusive environment. Experience scheduling complex travel arrangements for high level management. Experience with processing invoices, purchasing, expense tracking, and other financial transactions.
