Job Description Summary The Sales & Catering Coordinator (S&CC) executes the sales strategy of the hotel, as defined by the Director of Sales, to ensure that occupancy, average daily rate, extended stay and market share goals are achieved. This includes assisting with client requests in a timely manner and efficiently handling all inquiries in absence of the Director of Sales and Director of Catering. The S&CC will be required to perform general administrative duties, but not limited to, contracts, meeting room logistics, group rooming lists, and compiling/updating reports as needed. The S&CC will also handle Social, Military, Education, Religious and Fraternity (SMERF) group blocks and meetings as guided by the Director of Sales and Director of Catering. Job Description DUTIES AND RESPONSIBILITIES : QUALIFICATIONS AND REQUIREMENTS : Deliver on the promise of Sonesta Service in all interactions with guests and clients. Manage according to the Sonesta G.U.E.S.T. standards and instill a passion for customer service in all associates of the hotel. Merge Contracts (both catering and group). Process Group and Catering Definite Booking Turnover. Handle amenity requests. Assist with groups requests (room changes, guestrooms, counts, etc.) Answer telephone and take inquiry call-via phone/via email. Point of Contact for Sales & Catering Inquiries. Qualify all leads & Walk-Ins Cross reference daily event reports for next two days, Fridays till Tuesday Cross reference banquet checks with night audit reports. Handle rooming lists for groups Ensure correct coding of group blocks Assist in booking and servicing small meetings and repeat meeting Administer all Delphi Catering Documents-Do Contracts, Create Banquet Event Orders, Revise BEOs and make changes in book Ensure deposit are being paid and send receipt to clients Process commissions-group Email Weekly Pick up report to all groups (Sales & Catering) Process all purchase orders for department 14 Day-Set up 9000, Wi-Fi, Coordinate the BEO process and administration, ensuring completeness & accuracy, cross reference. Load all Guarantees and changes in Book & System from events Office Supplies-Make sure we have enough sales kits, toner, paper, file folders, etc. Replenish and Stock all Catering Packages-Please make sure front desk has stock and concierge Manage filing and merge files. Load all Turn downs Support other F&B departments with needs-Banquets, Kitchen, Outlets (Sol, Harbor Bar Bistro) Enter Rooms Final pick-up numbers at end of event Assist with Input of Delphi cleanup /maintain Data Entry for any Sales & Catering Reports Any other administrative duties requested by the managers Qualifications and Skills Previous background from the extended stay industry preferred. Ability to speak, read, and write fluent English. Professional verbal and written communication skills. Mathematical skills, including basic math, budgeting, profit/loss concepts, percentages, and variances. Problem solving, reasoning, motivating, organizational and training abilities. Experience with Microsoft Office, Opera and other Sonesta event and property management systems preferred. A true desire to satisfy the needs of others in a fast-paced environment Strong analytical, organizational and interpersonal skills. Frequently standing up, bending, climbing, kneeling, and moving about the facility. Carrying, lifting or pulling items weighing up to 25 pounds. Frequently handling objects and equipment. Additional Job Information/Anticipated Pay Range Pay Range $30.00-$32.00/hr. Base pay offered may vary depending on various factors including but not limited to job related knowledge, skills and job specific experience/overall experience.
