Description of Work The Business Services Coordinator I position serves as fiscal service subject matter expert for case service payments. The position is responsible for coordinating the financial functions and overseeing the daily workflow of Case Service Payments. This includes troubleshooting systems, system interfaces, and maintaining and interpreting fiscal procedures and policies. This position must have thorough or be able to quickly develop operational knowledge of ENCORE, NCFS, NCTracks. This individual servers as resource person for division management and staff, departmental staff, state and federal auditors and others as needed to ensure transaction and fiscal compliance. This position will serve as backup to review and code accounts payable invoices and accounts receivable. This position located in Raleigh provides the chance to exercise business skills while working in an environment where what you do matters to the people we serve. The position functions include, but are not limited to: 1) Coordinating and overseeing Case Services Payments: This position plans, direct and coordinate the fiscal oversight of case services activities to ensure compliance with the terms and conditions of the contract, federal cost principles and audit requirements. Duties include, but are not limited to: o Review policies to ensure compliance with the CO and the Treasury and make sure that procedures are posted on SharePoint. Work closely with the Controller's Office, Lead Office Assistances, and providers when it is needed. o Review and approve payments requests, monitor receipt of monthly check logs, and create new check logs annually (SFY) for offices. o Provide resolution to payment issues and support staff with voiding payments. Resolve issues with the case services management system. o Fiscal services desk: Assist with all Case Service fiscal processes. Responses are provided as quickly as possible, usually within 1 business day. o Seek reimbursements for SSA. Review and approved Ilife payments and refunds in ENCORE. o Attend to case services or other fiscal meetings. 2) Monitor fiscal documents on SharePoint Fiscal Services Forms for needed updates as well as Fiscal Case Service documents. Complete update, note revision date on the document and the title and send to SharePoint Administrator for posting. Requesting that the management of administrative fiscal forms be moved to someone on the administrative side. Assist with the State Single Audit every year. 3) This position must be skilled in research, analytical and reporting techniques and processes to be able to work independently and be able to troubleshoot complex issues and coordinate information requests by assessing and interpreting Federal/ State regulations and Generally Accepted Accounting Principles to ensure compliance.
