Responsibilities

  • Workplace & Employee Experience
  • Own day-to-day office operations and make sure our workspace runs smoothly and feels great to be in.
  • Be the go-to person for office vendors, services and workplace coordination.

  • Own onboarding and offboarding end-to-end, making sure every start and exit feels smooth and intentional.
  • Prepare contracts, amendments and other employment documentation.
  • Manage benefits administration and support employee questions.
  • Keep employee data accurate and systems up to date.
  • Build, document and continuously improve Talent & Culture processes.
  • Recruitment Coordination & Support
  • Partner with hiring managers to support open roles and hiring processes.
  • Post job ads and handle initial CV screening.
  • Coordinate interviews and keep the candidate experience smooth and consistent.
  • Support and coach managers on good hiring practices and candidate experience.
  • Operations Support (up to 20%)
  • Handle invoice processing and vendor coordination.
  • Support day-to-day business operations and admin tasks as needed.
  • What You Bring
  • Experience in People Ops, HR, Recruitment, Office Management or similar operational roles.
  • You enjoy working with people and understanding how a good business works.
  • Strong ownership mindset - you don't just run processes, you improve them.
  • Experience with onboarding and offboarding.
  • Great attention to detail and strong execution skills.
  • Clear, direct communication style and a helpful, service-oriented approach.
  • Comfort working across multiple priorities in a fast-moving environment.
  • Experience supporting recruitment processes is a plus.
  • Proficient in Estonian and English languages, both written and verbal.
  • Curiosity about how to make employee experience and culture better, not just functional.

We're looking for a Talent & Culture Operations Coordinator to help shape a smooth, thoughtful and high-quality experience across the entire employee journey. This is a hands-on role at the core of how our company runs day to day. You'll take ownership of Talent & Culture operations, onboarding and offboarding, office experience and recruitment coordination - making sure employees, candidates and managers have a seamless and well-supported experience from start to finish. You'll also play an active role in how we evolve things behind the scenes, spotting what can be improved, simplifying and documenting processes and helping turn everyday operations into something clearer and more scalable as we grow.
