We are proudly part of Japan Post - www.tollgroup.com OVERALL PURPOSE OF THE JOB The HR Intern will support the Human Resources team in recruitment, onboarding, employee administration, and HR operations activities. This role offers hands-on exposure to the full employee lifecycle in a multinational logistics environment and provides opportunities to develop practical HR and communication skills while working closely with various stakeholders across the business. PRIMARY DUTIES & RESPONSIBILITIES 1. Recruitment Support Post job advertisements on various recruitment channels, including LinkedIn, social media platforms, and other sourcing websites. Coordinate with Hiring Managers to review and update job descriptions when required . Explore and recommend new sourcing channels and recruitment methods to improve hiring effectiveness. Screen candidate applications and conduct initial phone interviews. Schedule interviews and coordinate communication between candidates and hiring teams. Contact shortlisted candidates to collect required information for offer preparation and onboarding. Support candidate experience throughout the recruitment process. 2. HR Operations & Administration Support employee data management and maintain personnel records within the HR system (Workday). Create and update employee profiles and HR documentation as required . Coordinate with IT and relevant departments to prepare system access and onboarding requirements for new employees. Support onboarding activities, including collecting employee documents and preparing employment contracts. Maintain HR files and ensure proper document organization and confidentiality. 3. Reporting & Project Support Prepare HR reports, presentations, and PowerPoint materials as requested. Support HR projects, employee engagement initiatives, and administrative activities when required . Assist in maintaining accurate HR records and generating data for reporting purposes. Perform other duties assigned by the HR team SKILLS ESSENTIAL TO THE JOB Education Final-year student or fresh graduate in Human Resources, Business Administration, Psychology, Economics, or related fields. Language Good command of English, both written and verbal. Comfortable communicating with international stakeholders and support teams. Technical Skills Proficient in Microsoft Office applications, particularly Excel, PowerPoint, and Word. Ability to learn and use HR systems and digital tools. Personal Detail-oriented and able to handle confidential information professionally. Proactive, eager to learn, and willing to take ownership of assigned tasks. Ability to work independently as well as collaboratively within a team. WORKING CONDITIONS Working days: Monday to Friday. Working hours: 8:30 AM - 5:30 PM.
