๐Ÿ“Œ Job Description Role Overview We are looking for a responsible and detail-oriented Customer Service & Operations Executive to support our daily transport operations. This role involves handling customer enquiries, preparing quotations, coordinating bookings, and ensuring smooth administrative and compliance processes. ๐Ÿ› ๏ธ Key Responsibilities 1. Customer Service & Sales Support Respond to customer enquiries via email and phone in a timely and professional manner Prepare and send quotations based on customer requirements Follow up on enquiries to convert them into confirmed bookings 2. Booking & Operations Coordination Process booking forms (e.g. school bookings) via email/fax Ensure all booking details are accurate and properly recorded Coordinate internally to ensure smooth execution of bookings 3. Operations Administration & Compliance Monitor road tax expiry and coordinate renewal requirements (inspection, insurance, VPC, etc.) Liaise with relevant parties to ensure compliance deadlines are met Draft and submit appeal letters or correspondence to authorities when required Source and compare insurance quotations 4. Financial & Billing Support Issue ad-hoc invoices accurately and promptly Follow up with customers on outstanding payments Assist in basic tracking of receivables 5. Internal Coordination Verify driver claim submissions against system records for accuracy Maintain proper documentation and records for operational and administrative activities And any adhoc tasks โœ… Job Requirements Core Skills Strong communication skills (written and verbal) Good organisational and multitasking abilities Detail-oriented with strong sense of responsibility Able to handle customer enquiries and administrative tasks simultaneously Functional Skills Proficient in Microsoft Excel / Google Sheets Comfortable handling emails, phone enquiries, and documentation Experience in transport, logistics, or service operations is an advantage Personal Attributes Responsive and customer-focused Able to work independently and take initiative Calm and solution-oriented when handling issues Willing to learn regulatory and compliance processes
