As a Tender Management Coordinator, you will support the planning, coordination, and delivery of tender and panel submissions across the firm. Tender planning & coordination Monitor tender portals and internal referral channels for new tender and panel opportunities Register tenders and maintain accurate tender trackers, registers, and calendars Review tender documentation to identify submission requirements, evaluation criteria, and key risks Prepare and manage tender response plans, timelines, and milestones Development of tender responses Support service line pursuit teams and the Proposals & Pursuits Lead in drafting and refining tender content Assist with tailoring standard content to meet client, evaluation, and procurement requirements Review content to ensure clarity, consistency, and alignment with organisational tone and positioning Coordinate inputs across multi‑disciplinary teams for complex tender responses Ensure responses are persuasive, evidence‑based, and aligned to evaluation criteria Compliance and quality assurance Check all responses against mandatory tender and compliance requirements Ensure schedules, declarations, and attachments are completed accurately Conduct quality reviews to confirm completeness, accuracy, and consistency Support internal approval and sign‑off processes prior to submission Tender submission & post‑submission support Lodge tender submissions via e‑tendering portals and alternative methods as required Confirm successful submissions and retain submission records Coordinate and respond to post‑submission clarification requests Provide summaries of tender obligations and ongoing requirements following submission Continuous improvement and governance Maintain records of tender outcomes, feedback, and lessons learned Identify recurring issues or process inefficiencies within tender activities Contribute to improvements in tender templates, tools, and workflows Support governance and quality frameworks for future tender activity Reporting and administration Prepare tender status updates and reporting for service lines and stakeholders Support panel administration, including maintaining listings, documentation, and access records Assist with ongoing reporting, compliance checks, and annual panel reviews Experience contributing to or coordinating tender, proposal, or compliance‑driven documentation (highly regarded) Exceptional attention to detail, with a strong focus on accuracy, completeness, and quality Proven capability in time and task management, and coordinating work across multiple concurrent projects Strong organisational skills, with the ability to manage complex information, documentation, and competing priorities The ability to work proactively and independently, taking ownership of tasks from initiation through to completion Confidence working autonomously while knowing when to escalate issues or seek guidance Strong stakeholder engagement skills, with experience working across different teams, service lines, and senior leaders Highly developed written communication skills, with the ability to articulate responses clearly, persuasively, and with value Resilience and adaptability when balancing competing priorities across different panels, systems, and requirements Please note: The successful candidate will be required to undergo an Australian Government security clearance process, including an understanding that this will be very thorough.
