About the role
Responsible for creating, maintaining, and ensuring the accuracy of the Supplier Maintenance database by processing new supplier requests and updating existing supplier records while maintaining compliance with company policies and IRS guidelines. Essential Duties and Responsibilities: include the following. Other duties may be assigned. Daily Responsibilities: Process Supplier Master Maintenance and set up requests for ABC, ABCI and CBC Supply. Monitor multiple workflows for supplier set up requests, GL coding and customer refunds. Monitor and respond to inbox inquiries from various departments throughout the company. Answer direct phone calls and respond to questions regarding supplier records and supplier set up processes. Ensure adherence to departmental policies and procedures and maintain compliance with IRS guidelines related to W9s and 1099 reporting. Maintain positive supplier communications and interactions. Identify process improvement opportunities and training needs as new systems and processes are implemented. Weekly Responsibilities: Follow up with departments, branches, and suppliers as needed to resolve outstanding issues. Monitor and follow up on workflow items and email inquiries to ensure timely communication and escalation when necessary. Communicate outstanding issues, concerns and workflow challenges to the Senior Supplier Maintenance Associate. Monthly Responsibilities: Identify and resolve duplicate supplier records. Ensure supplier setups are complete, accurate and processed within established timelines. As Needed / Projects: Serve as backup support for Supplier Maintenance functions and processes. Review, analyze and process customer trip sheets to support annual 1099 reporting. Other duties as assigned.
Requirements
- Ability to work effectively in a high-volume, fast-paced environment.
- Strong working knowledge of Microsoft Office applications, particularly Excel and Word.
