What We Can Achieve Together: The Operations Program Specialist will be responsible for a variety of operations activities in support of a program's approved tactics. The Specialist is a member of the Stewardship & Field Programs (SAF) Department within The Nature Conservancy's Florida Business Unit (FLBU). The position works under the supervision of the SAF Operations Program Manager as part of the SAF Operations Team. ESSENTIAL FUNCTIONS The Operations Program Specialist will be responsible for performing multiple administrative functions related to two campus preserves located in close proximity in central Florida: Disney Wilderness Preserve (CCI-DWP) and Tiger Creek Preserve (CCI-TCP). These campus preserves are part of TNC's Center for Conservation Initiatives (CCI). This position supports CCI as needed through administrative efforts. They may be responsible for scheduling and coordinating logistics for special events and/or meetings, purchasing, central filing, mailroom operations, facility management, telecommunications, and/or reception. They may assist with the recruitment and training of program volunteers and may coordinate the activities of volunteers. In addition, the Specialist may perform Information Systems, Human Resources, and Finance administrative tasks, including processing forms, preparing reports, and monitoring budgets. They will use available systems and resources to maintain, track, and research data, and to produce and review reports. They will apply established processes and practices in order to improve effectiveness and to document program procedures for reference by staff. They will coordinate activities with multiple variables, set realistic deadlines and manage the timeline. The Specialist may handle inquiries about business unit activities and assist in the development of program materials and correspondence. They will work cooperatively with Conservancy staff, providing information necessary to make decisions and solve problems. The Specialist may communicate on behalf of their supervisor with internal and external sources, including staff, donors, vendors, and businesses in order to coordinate arrangements, convey information, and ensure successful execution of programs. Since this position may involve operating company owned/leased vehicles, you will be required to participate in the Conservancy's Auto Safety Program. As such, you will be required to provide your driver's license information, which may be used to review your Motor Vehicle Record. Please be aware the Conservancy reserves the right to revoke driving privileges at any time. RESPONSIBILITIES & SCOPE Provide direction and oversee activities as the SAF Operations Team liaison to the preserves as directed by the SAF Operations Program Manager. Make day-to-day decisions within the scope of work assignments and prioritize work independently. Identify routine problems and utilize existing resources for resolution, referring difficult questions and problems to supervisor. Demonstrate sensitivity in handling confidential information. Does not supervise any staff, but may supervise volunteers, interns, or temporary staff. Financial responsibility may include purchasing, processing invoices, contracting with vendors, and assisting with budget tracking. Serve as a team member for assigned projects. Coordinate access and use of conference space to internal and external parties with Preserve Manager. Maintain legal files and obligations for the preserves, including liability releases for visitors, and the auto safety program. Serve as principal contact for emergency preparedness and coordination for office closures. Maintain emergency action plans. Be willing to travel, work overtime, and work evenings and weekends as needed; and Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain.
