About the role

We are looking for a Digital Transformation Intern - HR Systems, AI & Automation to support our company's digital transformation initiatives across HR operations, recruitment operations, HR advisory, payroll, timesheet processing, claims, leave administration, applicant tracking, billing, internal workflow automation, and HR knowledge-base development . This role is suitable for an IT, Computer Science, Information Systems, Engineering, or Business Analytics student who is interested in applying technology to real business problems. The intern will work on a mix of business process documentation, HR system implementation, automation scripting, MS365 development, AI technology research, knowledge-base structuring and development, and system integration projects . The intern will be involved in improving current "as-is" HR and recruitment processes, designing better "to-be" workflows, implementing new IT solutions, building and organizing the foundation of the company's HR knowledge base, and supporting users through documentation, testing, and change management.

Responsibilities

  • HR & Recruitment Operations Process Documentation
  • Assist in documenting and improving internal HR and recruitment operations processes, including:
  • Payroll processing.
  • Timesheet tracking and consolidation.
  • Leave administration.
  • Claims processing.
  • HR advisory case handling.
  • Recruitment operations workflows.
  • Applicant tracking and candidate management processes.
  • CRM or ticketing system workflows for HR advisory and internal requests.
  • Prepare and maintain Standard Operating Procedures, business process flows, user guides, training documentation, and structured knowledge-base content for new and existing IT solutions.
  • Support the design of as-is and to-be business process workflows to identify manual steps, process gaps, automation opportunities, and system improvement areas.
  • HR Software, ATS & New System Implementation
  • Assist in the hands-on setup, configuration, testing, and enhancement of HR and recruitment-related systems, including:
  • Applicant Tracking Systems.
  • HRMS and payroll systems.
  • CRM or ticketing systems.
  • Internal workflow management tools.
  • Document management and knowledge-base systems.
  • Support the implementation of new system features and enhancements into existing business processes.
  • Assist with user requirement gathering, process mapping, user testing, issue tracking, and post-implementation support.
  • Coordinate with internal stakeholders, business users, vendors, and system users to ensure smooth rollout of new processes and tools.
  • MS365, SharePoint & Power Platform Development
  • Support the development and setup of the Microsoft 365 ecosystem for internal operations, including:
  • SharePoint sites, document libraries, lists, and permissions structure.
  • Power Automate workflows.
  • MS Forms, Planner, Teams, Outlook, and shared mailbox workflows.
  • Azure-related components where required.
  • Knowledge-base and document management structures.
  • Help design SharePoint-based solutions to organize HR, recruitment, SOP, project, system documentation, and centralized HR knowledge-base content.
  • Assist in building automated workflows for approvals, notifications, tracking, reminders, file routing, and process monitoring.
  • Automation, Scripting & Low-Code Development
  • Develop or assist in developing automation tools to reduce manual HR and recruitment work using:
  • Python.
  • VBA Macros.
  • Excel formulas and automation.
  • Power Query.
  • SQL.
  • Power Automate.
  • API integrations.
  • Other scripting or low-code tools.
  • Possible automation use cases include:
  • Leave form consolidation.
  • Timesheet processing.
  • Payroll data validation.
  • Claims tracking.
  • Recruitment pipeline tracking.
  • Candidate data processing.
  • Invoice and billing report preparation.
  • Shared mailbox workflow automation.
  • HR reporting dashboards.
  • Data extraction, cleaning, and reconciliation.
  • AI, RAG & Knowledge-Base Research and Implementation
  • Research and assist in implementing AI technologies for HR and recruitment operations, including:
  • AI agents.
  • Retrieval-Augmented Generation knowledge bases.
  • Internal HR and recruitment knowledge assistants.
  • SOP-based Q&A systems.
  • Document search and summarization tools.
  • Candidate screening or recruitment workflow support tools.
  • HR advisory support knowledge bases.
  • Evaluate how AI tools can be applied safely and practically to improve internal business operations.
  • Assist in structuring company knowledge, SOPs, policies, user guides, process documents, and HR advisory content so they can be used effectively by AI tools and knowledge-base systems.

  • Support research, planning, and documentation for integrating separate business systems into a more centralized opera
