About the role
We are looking for a detail-oriented and proactive Operations Administrator to join our team in Singapore. This role sits at the intersection of commercial order management and administration. You will be responsible for processing customer orders, coordinating with internal teams and external partners, and supporting end-of-year audits. Responsibilities
- Order Management & Operations
- Manage end-to-end processing of customer purchase orders (POs), including order entry, verification, and confirmation
- Coordinate with sales, logistics, and supply chain teams to ensure timely order fulfillment
- Maintain accurate records of order status, delivery schedules, and inventory availability
- Liaise with customers and suppliers on order-related queries, discrepancies, and changes
- Prepare and issue sales invoices, credit notes, and delivery documentation
- Support contract review and pricing validation against agreed terms
- Finance Administration Support
- Support month-end closing activities, including invoice issuance (AR) and payment processing (AP) in coordination with the finance team
- Reconcile customer accounts and supplier statements; follow up on outstanding receivables as needed
- Assist with external audit requirements - prepare and organize supporting documents (invoices, contracts, delivery orders, bank statements) for annual audits and ad-hoc auditor requests
- Maintain filing systems for financial records in compliance with company policies
- Qualifications & Requirements
- Essential
- Diploma or Bachelor's degree in Accounting, Business Administration, HR or a related field
- 2-4 years of working experience in order management, operations, or finance/accounting roles
- Strong numerical and analytical skills with high attention to detail
- Proficiency in Microsoft Office, especially Excel (pivot tables, VLOOKUP, basic formulas)
- Experience with ERP systems (e.g., SAP, Oracle NetSuite, or similar) is a plus
- Excellent written and verbal communication skills in English and Mandarin
- Ability to multitask, prioritize, and work independently in a dynamic environment
- Preferred
- Experience in the semiconductor, electronics, or technology distribution industry
- Prior exposure to cross-border trade documentation (letter of credit, incoterms, shipping docs)
- Knowledge of Xero, or other accounting software
