About the role

The Talent Acquisition Coordinator supports the Talent Acquisition team by managing key compliance and logistics functions within the new hire onboarding process. This role ensures that incoming field employees are screened, cleared, and set up for success before and during their first days - serving as a reliable behind-the-scenes coordinator who keeps onboarding moving smoothly.

Responsibilities

  • Compliance Processing
  • Run motor vehicle reports (MVRs) for applicable new hires and flag results for review
  • Administer and monitor pre-employment and onboarding drug screening processes, ensuring timely completion and accurate recordkeeping
  • Maintain compliance tracking to ensure all required screenings and documentation are completed prior to start dates
  • Orientation Logistics
  • Coordinate all orientation logistics, including scheduling, communications, materials preparation, and day-of setup
  • Serve as a point of contact for new hires regarding orientation details, first-day instructions, and any pre-start questions
  • Partner with recruiters and hiring managers to ensure new hires are fully prepared and accounted for ahead of orientation
  • Facilitate or co-facilitate orientation sessions as needed
  • Communication and Coordination
  • Maintain regular communication with new hires throughout the pre-start period
  • Provide timely status updates to the TA team and hiring managers on screening and logistics progress
  • Identify and escalate any delays or issues that could impact a new hire's start date

Requirements

  • 1-2 years of experience in HR, recruiting coordination, onboarding, or a related administrative role
  • Strong organizational skills and attention to detail
  • Ability to manage multiple tasks and deadlines in a fast-paced environment
  • Comfortable communicating with candidates, hiring managers, and vendors
  • Proficiency in Microsoft Office; experience with an HRIS or ATS a plus
  • Preferred Skills:
  • Familiarity with DOT compliance or MVR processing
  • Experience coordinating drug screening programs
  • Prior exposure to construction, field operations, or high-volume hiring environments
