We are passionate about maritime efficiency, safety and sustainability practices.What makes RightShip a great place to work at:Reporting Line:Reporting to the Executive Assistant (EA) of the CEO Office, the Office Manager is responsible for the effective coordination and day-to-day operations of the Hanoi office.This role requires a highly organised, detail-oriented, and dependable individual who can ensure the office operates smoothly, efficiently, and in compliance with company standards and local regulations.Major ResponsibilitiesOFFICE / FACILITIES MANAGEMENTEnsure the smooth and consistent day-to-day running of the officeMaintain office facilities, ensuring compliance with local safety and regulatory requirementsCoordinate vendors and service providers (cleaning, security, maintenance, etc.)Monitor office supplies, equipment, and maintenance schedulesManage office-related budgets and expenses with a focus on cost control and accuracyMaintain a safe, organised, and professional working environmentAct as the primary point of contact for building management and service providersADMINISTRATIVE MANAGEMENTProvide structured administrative support to the Hanoi office and leadership where requiredCoordinate meetings, office activities, and internal communicationsMaintain accurate records, documentation, and reporting (contracts, compliance, vendors)Support onboarding and offboarding processes in coordination with HREnsure administrative processes are followed consistently and accuratelySupport internal compliance, governance, and audit requirementsCULTURES & VALUESSupport a positive, inclusive, and respectful workplace environmentCoordinate employee engagement activities and office eventsAssist with onboarding to ensure a structured and welcoming experienceAct as a reliable and approachable point of contact for employeesPromote adherence to company values, policies, and workplace standardsBUSINESS SUPPORTProvide administrative coordination support for local and regional activitiesAssist with logistics for leadership visits, meetings, and eventsSupport cross-functional coordination with global teamsAssist with ad hoc projects and operational tasks as requiredQualifications, Skills & AttributesProven experience in office management, administration, or workplace operationKnowledge of Facilities Management, methods and best practices.Strong organisational and time management skillsHigh attention to detail and accuracyStrong communication and interpersonal skillsAbility to manage multiple priorities in a structured mannerA familiarity with legislation in the areas of supplier management, Health and Safety and government office legislationHealth insurance
