Responsibilities

  • Ensuring the efficient operation of the reception and office
  • Registering and handling incoming and outgoing correspondence
  • Supervising document circulation, maintaining company records, and archiving them
  • Organizing meetings, conferences, and events, gathering offers, and liaising with suppliers
  • Purchasing office supplies and collaborating with the procurement department
  • Supporting company purchases (small electronic devices, business phones, etc.)
  • Cooperating with other Phinia branches and service providers working for Phinia in Kraków
  • Preparing presentations (organizational charts, office maps, information boards)
  • Coordinating access (mailing groups, badges/entry permissions)
  • Managing parking spaces (liaising with the administrator, assigning spaces)
  • Ensuring the confidentiality of information
  • Maintaining office equipment in good condition and order
  • Providing ongoing administrative support

Requirements

  • Communicative proficiency in English (both written and spoken)
  • Practical experience with MS Office
  • Highly developed interpersonal and communication skills
  • Self-discipline, strong sense of responsibility, and initiative
  • Excellent organizational skills and ability to work under time pressure
  • Experience in a coordination/multitasking role is required
  • Higher education is preferred
  • Familiarity with graphic design tools such as Canva
