We are looking for a detail-oriented and hands-on Legal Operations Specialist to support our Legal function and ensure smooth day-to-day operations. In this role, you will work closely with our Director Legal and the wider Legal team to ensure well-organized and reliable legal operations. You will play a key role in keeping legal workflows running efficiently, with a particular focus on corporate housekeeping, notary-related work, legal documentation, and ticket handling. This position is ideal for someone who enjoys structure, accuracy, and execution in a fast-paced international SaaS environment. You will help ensure that legal requests are handled in a timely and structured way, while also supporting core legal administrative topics such as entity documentation, registrations, commercial register updates, and the preparation of standard legal materials. A strong understanding of German legal fundamentals, especially in the area of commercial and civil law, will be important for success in this role.

Responsibilities

  • Manage and process legal requests and tickets, ensuring timely, accurate, and structured handling of incoming queries.
  • Maintain and update corporate records and legal documentation, including entity-related data, filings, and internal records.
  • Support corporate housekeeping activities across our legal entities, including the preparation and coordination of documentation for registrations, amendments, and corporate changes.
  • Assist with notary-related work and related documentation processes.
  • Prepare information and supporting documents for commercial register updates and similar formal legal processes.
  • Support the drafting, preparation, review, and adaptation of customer contracts, NDAs, and commercial agreements based on templates and established guidelines.
  • Prepare and maintain standard legal documents, templates, and supporting materials.
  • Handle contract administration, including tracking, filing, documentation, and follow-ups.
  • Ensure that all legal documentation and legal processes are complete, accurate, and properly maintained.
  • Support the Legal team in day-to-day operational and administrative tasks, helping to ensure smooth execution across ongoing legal topics.
  • What you bring to the table
  • Legal background, e.g. Bachelor of Law, Paralegal qualification, or comparable training such as Legal and Notarial Assistant / Notarial Assistant
  • (German equivalents: Rechtsanwalts- und Notarfachangestellte / Notarfachangestellte) .
  • Professional experience in a legal, notarial, or legal operations environment.
  • Strong interest in corporate housekeeping, notary-related work, and operational legal support.
  • Solid knowledge of German legal fundamentals, especially in German commercial and civil law.
  • Good understanding of legal documentation, structured legal workflows, and formal legal processes.
  • Ability to work accurately and confidently on both German and international legal-related topics, especially in the context of legal requests and ticket handling.
  • Highly structured, detail-oriented, and reliable working style.
  • Hands-on mentality with a strong focus on execution and getting things done.
  • Comfortable working in a dynamic, international environment.
  • Fluent German is mandatory; strong English skills are also required for working in an international context.
