Project Assistant The Project Assistant is responsible for assisting with all accounting related duties of the site teams. This includes receiving goods, processing vendor invoices, preparing legal documents, contacting clients for payments and many other accounting related duties. The successful candidate will work closely with both the site team and our Central AP Team to ensure all invoices are submitted and paid on time along with a variety of other duties. We are currently using OnBase and Viewpoint accounting systems. This is a full time, in office position based in NW Edmonton, AB on a Monday-Friday, 8:00am-4:30pm schedule. What You Will Be Working On Prepare and collect monthly client billings (accounts receivable). Review incoming supplier and subcontractor invoices for accuracy and coding. Process supplier and subcontractor invoices and purchase orders. Enter receiving documents for all goods received on sites Prepare subcontract documents and collect and update subcontract documents as required. Prepare and distribute documentation to subcontractors, clients and architects as required by project teams. This may include documents such as shop drawings, change orders, requests for pricing, request for information, etc. Prepare and distribute meeting minutes for various meetings. Assist with preparation and distribution of reports as required. Correspond with clients and subcontractors via email and phone. Provide other administrative support by operations staff and project teams. Other duties as required, including regular front desk reception relief coverage and vacation coverage for other Administration staff.
