YOU Business Support Officer provides essential administrative and technical support for both Sales Admin and Technical Admin functions. The role focuses on the accurate execution of assigned tasks, including documentation handling, data entry, quoting support, report preparation, and maintaining organized records. Working under close guidance from the Senior Coordinator and Team Lead, the Entry-Level Coordinator follows established procedures, ensures compliance with quality standards, and supports effective communication across internal teams. The position contributes to smooth daily operations while gradually building technical knowledge and professional skills.
Responsibilities
- Service Providing
- Process sales orders, technical requests, and related documentation accurately and on time in compliance with company policies and procedures
- Prepare, manage, and maintain all required documents, including sales contracts, quotations, invoices, specifications, and reports
- Support data entry, reporting, and document control for both sales and technical operations
- Monitor progress, assist in scheduling, and provide timely updates to ensure deliverables meet requirements
- Quality Compliance
- Verify the basic accuracy and completeness of information in sales and technical documentation, ensuring data is properly recorded and aligned with approved templates, procedures and quality standards by performing preliminary quality checks before submission
- Follow company policies, regulatory requirements, and internal documentation procedures, ensuring all records meet quality and compliance expectations
- Review documents regularly, detect inconsistencies, and take corrective actions to minimize errors and rework
- Participate in reviews and improvement activities to identify root causes, propose corrective actions, and standardize workflows
- Collaboration
- Communicate proactively with supervisors and stakeholders to clarify requirements, coordinate workload, and update progress
- Collaborate with related departments for effective service delivery and ensure transparent information sharing across teams
- Share information transparently and contribute to decision-making during meetings and team discussions

- DESIRED SKILLS AND EXPERIENCE

- Welcome fresher/entry/non-experienced level but more than 1 year of experience in Technical Clerk, Administration, or Customer Service roles is an asset
