Purpose of the role: The Workplace Team Leader is responsible for leading and developing the Workplace Services team to ensure the efficient delivery of workplace, facilities, and support services across the business. The role provides day-to-day operational oversight, ensuring tasks are prioritised and completed effectively, service standards are met, and resources are managed to support business needs. The Workplace Team Leader acts as a coach and escalation point for the team, fostering a high-performing, customer-focused culture while maintaining excellent service delivery. The role also has responsibility for maintaining a safe, secure, and compliant working environment. This includes overseeing building maintenance, health and safety activities, security systems, workplace equipment and supplies, contractor relationships, and emergency response arrangements. Working closely with the Workplace Services Manager, the Workplace Team Leader contributes to continuous improvement initiatives, supports budget management, and ensures adherence to regulatory requirements, policies, and service level agreements. - Line management of the Workplace Services team including undertaking regular 121s, performance reviews and recruitment as necessary, ensuring all team activities are appropriately resourced - Review and be accountable for the day-to-day activities, ensure priority tasks are completed across all offices, moving non-office-based tasks around to fit available resource - Working with the Workplace Services Manager, review, propose and implement SLAs and KPIs to ensure team working efficiently and delivering excellent service - Review and maintain team intranet pages, ensuring relevant information is shared with the business - Act as a coach to team members, ensuring all team members have the skills to carry out their role - Escalate to Facilities Manager any concerns around team conduct or risks to priority tasks - Act as the escalation point for all actions in the absence of the Workplace Services Manager, escalating to senior Management as needed - Maintain building and equipment maintenance schedules and records, responding to urgent maintenance calls - Testing and maintaining building security systems and promoting safety within the building, administer and audit the access control system, including managing restricted access areas for business owners in line with agreed SLAs. - Managing equipment and supply needs, including furniture, kitchen appliances, office equipment, stationery and consumables - Assist the Workplace Services Manager is maintaining budgetary control - Manage onsite parking in line with allocation policy - Implement process for regular DSE self-assessment - Ensure health and safety audits and statutory compliance checks are completed, recording outcomes and follow up actions - Ownership of fire marshal and first aid teams, training and rehearsals, supporting the safe evacuation on the office in event of an evacuation or other emergency by being a fire marshal - Work with third party contractors, landlords' agents and building reception as and when required - Report risk events in line with ii procedures and take part of resolutions activities as needed - Maintain the first line of compliance defence by ensuring individual adherence to business processes and procedures that are designed to meet the regulatory standards set out in the relevant FCA rules and guidance SKILLS & EXPERIENCE REQUIRED: - A minimum of three years of experience in facilities, workplace services, post room team or other fast passed environment, - essential - 2 years' experience of team leading or coaching - essential - Health, safety and security knowledge - essential - Experience of working with external third parties - desirable - General knowledge of postal processes - desirable - Good PC skills including Excel, Word, SharePoint and internet purchasing - desirable - Practical understanding of the regulatory environment both data protection and retention standards - Ability to work independently and part
