Roles and Responsibilities: 1. Onboarding & Offboarding Coordinate end-to-end onboarding of new starters: Prepare and configure laptops using standard builds (image, software, security tools, domain join). Create and verify user accounts (AD, email, Teams, required systems). Ensure all equipment and access is ready for day one. Manage offboarding processes: Collect IT equipment and update asset records immediately. Initiate account deactivation requests in line with security procedures. Prepare devices for redeployment (wipe, rebuild, reassign). Maintain detailed onboarding/offboarding logs for audit and compliance purposes. 2. Asset Management Maintain an accurate, complete, and up-to-date asset register in Ivanti (or equivalent system), ensuring all IT assets are consistently tracked and managed in line with company policies and audit requirements. Ensure all devices are: Tagged, uniquely identified, and recorded within the asset management system. Assigned to the correct user, department, and physical location. Updated promptly when assets are moved, replaced, returned, or decommissioned. Perform periodic asset validation controls across multiple EU offices: Coordinate validation exercises with local IT teams and designated office representatives. Physically verify assets and reconcile against system records. Record validation results and maintain evidence for audit purposes. Investigate discrepancies, identify root causes, and escalate findings in line with IT governance procedures. Support asset lifecycle management and planning: Monitor device age, warranty status, and lifecycle stage. Identify assets approaching end-of-life or non-compliance. Assist in planning and executing hardware refresh cycles across European offices. Ensure compliance with IT policies and ISO27001 controls: Maintain proper documentation and audit trails for all asset-related activities. Support internal and external audits by providing accurate records and evidence. Contribute to continuous improvement of asset management processes and controls. 3. Laptop Build & IT Administration Build, configure, and deploy laptops using standard IT processes: OS installation / imaging via Ivanti Install core applications (Office, security tools, monitoring agents) Apply updates, security policies, and naming standards Rebuild returned devices for reuse, ensuring: Secure wipe of previous data Standardised configuration for next user Perform quality checks before device handover to ensure consistency across all endpoints. 4. IT Purchasing & Vendor Coordination Support IT procurement activities: Raise and track purchase orders (CEVs / CAPEX items). Monitor delivery timelines and confirm receipt of goods. Liaise with vendors (e.g. CDW, Mutonic, local suppliers): Follow up on orders, delays, and discrepancies. Coordinate returns or replacements where needed. Maintain basic procurement and vendor records for tracking and reporting. 5. IT Administrative & Operational Support Provide day-to-day administrative support to the IT team: Maintain documentation and records (inventory, processes, logs). Update internal systems with accurate and timely data. Support office-related IT activities: Desk setups, moves, and changes. Equipment organisation in storage areas.
