About the role
Our client is an established healthcare diagnostics organisation supporting Singapore and APAC export markets within a regulated IVD / medical devices environment. Responsibilities
- Oversee daily operational execution for Singapore and APAC export / channel partner markets, ensuring smooth order fulfilment, supply coordination, and business continuity.
- Manage CRM and ERP systems to ensure accurate and timely updates of order, inventory, service, and operational data.
- Maintain data integrity across operational systems to support reporting, forecasting, audit readiness, and management decision-making.
- Work closely with Sales teams and HQ Supply Chain to align monthly forecasts, improve demand visibility, and support accurate monthly closing.
- Act as the key operational liaison between local teams, headquarters, distributors, logistics partners, and internal stakeholders.
- Monitor and manage supply issues, back-orders, and potential shortages, ensuring timely communication and mitigation actions.
- Review inventory levels for Singapore and export markets, including safety stock, slow-moving stock, expiring inventory, and channel partner stock levels.
- Ensure compliance with GDPMDS and other applicable regulatory, quality, and audit requirements.
- Lead audit preparation and coordination, including documentation readiness, inspection support, corrective actions, and follow-up activities.
- Review current workflows and develop or improve SOPs to enhance operational efficiency, delivery smoothness, and cost effectiveness.
- Partner with Finance, Quality, Sales, Logistics, and external distributors to resolve operational issues and support customer satisfaction.
- Lead and guide the operations support team, including coaching, performance tracking, and individual development planning.
- Support office-wide and corporate initiatives where required, including internal governance, administrative coordination, HR policy updates, and employee insurance matters.
- Travel regionally when required to support business, operational, and channel partner needs.
Requirements
- Diploma or Degree in Business, Supply Chain, Logistics, Operations Management, or a related discipline.
- Minimum 5 years of relevant experience in customer service, order management, supply chain operations, or commercial operations.
- Prior experience in the IVD, medical devices, healthcare diagnostics, life sciences, or regulated healthcare industry is highly preferred.
- Strong understanding of Order-to-Cash processes, order management workflows, supply planning, and inventory management.
- Hands-on experience with CRM and ERP systems such as SAGE, SAP, Salesforce / SFDC, or similar platforms.
- Good working knowledge of supply chain coordination, distributor operations, back-order management, and demand forecasting.
- Familiarity with GDPMDS, quality management systems, audit preparation, or regulated industry compliance is advantageous.
- Strong Excel skills are required; proficiency in Microsoft Word, PowerPoint, and Power BI will be an advantage.
- Project management or process improvement experience is preferred.
- Strong stakeholder management skills, with the ability to work across sales, supply chain, finance, quality, logistics, and external partners.
- Detail-oriented, accountable, proactive, and comfortable working in a fast-paced, matrixed environment.
- Strong planning, problem-solving, communication, and critical-thinking skills.
- Comfortable with regional travel of approximately 25%.
