Responsibilities
- Operations & Shipment Management
- Manage end-to-end AOG and non-AOG air export shipments from booking through to flight departure and final delivery .
- Coordinate with airlines, co-loaders, and GSAs to secure cargo space for urgent export shipments, often requiring rapid decision-making .
- Arrange and dispatch freight, including coordinating trucking and ground transport .
- Process and prepare export documentation, including House and Master Air Waybills (AWBs), commercial invoices, packing lists, and customs/regulatory paperwork .
- Track and trace shipments in real-time, proactively providing updates to customers and overseas offices .
- Customer Service & Communication
- Act as the primary point of contact for assigned key accounts, handling high volumes of email and phone inquiries with urgency .
- Provide timely quotations, convert them into live jobs, and follow up to secure business .
- Build and maintain strong customer relationships to meet and exceed service level expectations .
- Communicate effectively with customers, vendors, overseas Expeditors offices, and internal teams .
- Compliance & Documentation
- Ensure full compliance with internal policies, external government regulations (e.g., customs, security), and customer-specific requirements .
- Prepare and submit export declarations (e.g., EEIs) and ensure accurate customs clearance documentation .
- Maintain accurate records of all air freight activities, including shipment details, costs, and performance metrics .
- Systems & Billing
- Perform accurate and timely data entry into freight forwarding operating systems (e.g., CargoWise, SAP, AS400) .
- Ensure accurate and timely client billing in accordance with KPIs .
- Monitor reports and maintain customer data within company systems .
- Qualifications & Requirements
Requirements
- Minimum 1-2 years of experience in air freight operations, export documentation, or customer service, specifically within freight forwarding .
- Proven experience handling AOG, aerospace, or time-critical shipments is highly preferred .
- Experience in a 24/7 operational environment is an advantage .
- Knowledge & Skills
- Air Freight Operations: Deep understanding of air export processes, airline booking procedures, and co-loader coordination .
- Documentation: Proficiency in preparing AWBs, customs entries, and commercial documentation .
- Systems: Proficiency with freight forwarding software (e.g., CargoWise) and Microsoft Office Suite (Excel, Word, Outlook) .
- Regulations: Strong knowledge of customs procedures and international export regulations .
- Dangerous Goods: Dangerous Goods (DG) certification or knowledge is a plus
