Responsibilities
- Support the department in project tracking, workplan consolidation, risk/issue monitoring, and preparing updates for management review.
- Develop, maintain, and enhance dashboards for management reporting and decision support (projects, risks, budgets, assetlifecycle, audit status, etc.).
- Coordinate between operations and technical teams, including infrastructure, project managers, biomedical engineering, multidisciplinary teams, and relevant stakeholders, to ensure consistent project tracking and inventory reporting
- Monitor security deviations, asset end-of-support/end-of-life status, and compliance actions, and flag required follow-ups to Leads and Project Managers.
- Provide administrative and operational support to the office, including documentation, inventory management, audit preparation, budgeting, and operational planning.
- Maintain and update a central inventory of managed IT systems and assets.
- Consolidate project tracking reports and progress updates across all teams.
- Act as Secretariat for governance platforms, including IoMT Governance Committee and IoT Governance Meetings
- Conduct sampling checks to validate alignment across multiple reports (e.g., patching, vulnerability scanning, CMDB,inventory lists).
- Facilitate audit preparations, clarifications,and submission of required documentation.
- Maintain departmental MS Teams Channels and SharePoint Online workspace, including policies, SOPs, organisation charts,media, templates and reference materials.
- Act as the Point‑of‑Contact for the department's organisational chart updates and intranet content.
- Collate and monitor annual workplans and related budgets for department.
- Track compliance review activities and consolidate required submissions for reporting purposes.
- Represent department in organisational dutiesor assignments (e.g., Fire Warden for designated office zones).
- Support logistics, documentation, andsecretariat functions for meetings and committees.
Requirements
- Minimum Diploma in Business Administration or a related discipline.
- Minimum 5 years of relevant experience, preferably in Programme/Project Management, PMO, or Management Support.
- Proven experience in governance support, including workforce planning, resource management, and budgeting activities
- Past experience in IT asset management.
- Relevant knowledge on IT compliance and audit processes.
- Proficiency in Microsoft 365 productivity tools (MS Teams, SharePoint, Power BI, Excel).
- Experience developing executive dashboards, management reports, asset documentation, and maintaining departmental workspaces or microsites.
