Reid Accountants + Advisors is an independent, full-service accounting and advisory firm specializing in accounting and consulting services for businesses and individuals. We are seeking a highly organized, detail-oriented, and professional Administrative Assistant to join our accounting firm. This position plays a critical role in supporting daily office operations and providing an exceptional client experience. The ideal candidate will demonstrate strong communication skills, a proactive approach, and the ability to manage multiple priorities in a fast-paced professional services environment. Key Objectives: - Help assist as the first point of contact at the front desk, providing a professional, welcoming, and courteous client experience. - Help coordinate front desk operations to ensure an efficient daily workflow and high-quality client service. - Assist with answering, screening, and directing incoming phone calls promptly and professionally, taking detailed and accurate messages when necessary. - Manage client interactions both in person and by phone, maintaining confidentiality and a high standard of professionalism. - Provide administrative support to the accounting team, including data entry, document scanning, filing, and general office assistance. - Perform other administrative and clerical duties as assigned to support firm operations. - Monitor and respond to firm email communications as assigned. - Process incoming and outgoing mail. - Coordinate and manage client shipments, including FedEx and USPS. - Manage postage, shipping supplies, and shipment tracking. - Handle fax distribution and document scanning to ensure timely document delivery. - Maintain and manage the conference room calendar. - Set up conference rooms for meetings, ensuring rooms are clean, organized, and properly prepared before and after use. - Monitor inventory levels throughout the year, including increased supply needs during tax season. Tax Season Responsibilities - Perform all standard front desk and administrative duties during peak tax season. - Provide additional administrative support to administrative staff, including assistance with client acceptance processes. - Monitor and respond to Reid Tax & Advisory email communications as assigned.
Requirements
- High school diploma or equivalent required; associate degree or higher in a related field preferred.
- Minimum of 2 years of experience in an administrative or office support role; experience in an accounting or professional services firm preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
- Strong organizational, time-management, and multitasking skills.
- Exceptional attention to detail with a high degree of accuracy.
- Excellent written and verbal communication skills.
- Ability to work independently and collaboratively as part of a team.
- Professional demeanor with strong client service skills.
