The PMO Administrator occupies a pivotal position within the Project Management Office, serving as the operational backbone of the project portfolio across CEL's Ireland manufacturing operations, with support extended to US operations as required. The role demands a disciplined and detail-oriented professional capable of coordinating complex cross-functional ceremonies, maintaining data integrity across project systems, and translating operational activity into coherent reporting for senior leadership. Coordination & Facilitation - Coordinate and attend recurring project ceremonies including SIOPS reviews, project kick-offs, handover sessions, daily production meetings, and design touchpoints. - Manage ceremony logistics - scheduling, agenda preparation, attendee coordination, and material distribution - across a multi-project portfolio. - Maintain a structured cadence of touchpoints aligned to project lifecycle stages, ensuring no critical governance gate is missed. Minuting, Action Tracking & Communications - Produce accurate and concise minutes for all ceremonies, capturing decisions, action owners, and deadlines with precision. - Extract relevant information from ceremony outputs and log actions into the designated PMO tracking systems in a timely manner. - Communicate progress updates, outstanding queries, and action statuses to relevant stakeholders in a clear and professional manner.x Reporting & Senior Leadership Visibility - Prepare and distribute regular reports on portfolio status, ceremony outcomes, and action progress for senior leadership consumption. - Maintain and update Power BI dashboards and reporting assets to reflect current portfolio data, ensuring accuracy and timeliness. - Synthesise information from multiple sources into coherent, structured summaries that support informed decision-making at leadership level. Project Scheduling & Portfolio Maintenance - Maintain and update project schedules across the portfolio using the organisation's custom-built PPM tool (built on MS Planner) and equivalent task management platforms, ensuring plans reflect current status and agreed milestones. - Monitor schedule integrity and flag deviations, resource conflicts, or sequencing issues to the relevant project leads promptly. - Sustain stakeholder alignment on project timelines, milestones, and dependencies through regular communication and schedule updates. - Update SAP Business ByDesign project records as required to maintain ERP-level accuracy and consistency with the live portfolio. - Support the upkeep of portfolio-level data within Dataverse and SharePoint, ensuring records are complete, consistent, and audit-ready. Update Dataverse records, SharePoint repositories, and MS Planner task boards as required following each touchpoint. Essential Proven experience in a PMO, project coordination, or project administration capacity within a manufacturing or engineering environment. Strong command of Microsoft Power Platform tools, specifically SharePoint, Power BI, and Dataverse. Proficiency with task-based scheduling and portfolio management tools; experience with MS Planner or comparable platforms at an advanced level. Equivalent tools will be considered. Demonstrable experience producing high-quality minutes, action logs, and progress reports for senior audiences. Excellent written and verbal communication skills, with the ability to distil complex information into clear, concise outputs. High degree of organisational rigour, with a structured approach to managing multiple concurrent workstreams. Desirable Familiarity with switchgear, switchboard, or electrical manufacturing operations and associated project lifecycles. Experience working within a PMO governance framework, including understanding of project intake, stage gates, and portfolio-level reporting. Exposure to Power Automate for workflow automation supporting project administration processes. Knowledge of SAP Business ByDesign or equivalent ERP systems in a manufacturing context.
