The Benefits & Pension Administrator (1 year contract) is a critical member of the Total Rewards team, responsible for supporting the day-to-day administration, compliance, and communication of primarily U.S. and Canadian employee benefits and retirement programs. You will ensure a premium employee experience by facilitating end- to- end operations with a service-oriented mindset. This role reports to: Benefits Advisor This role is hybrid (2-3 days/week in the office) - based in Toronto, ON Benefits Management Enrollment Lifecycle: Facilitate the terminations, and Qualifying Life Event (QE) adjustments for medical, dental, vision, HSA/FSA, life, and disability plans, including COBRA administration Issue Resolution: Serve as the primary liaison with the vendors/ Shared Service to troubleshoot and resolve technical or employee coverage issues Vendor & Billing Liaison: Manage benefit billing cycles, including carrier payments and monthly reconciliations. Ensure brokers and vendors receive all required documentation for new hires and terminations Open Enrollment: Assist in the planning and execution of annual Open Enrollments, including system User Acceptance Testing (UAT), drafting communications, and supporting employee education sessions Retirement & 401(k) Administration Plan Oversight: Execute the day-to-day administration of U.S. 401(k) plans, including new hire setup, contribution changes, and termination processing within vendor systems Financial Processing: Synchronize payroll feeds with plan administrators; monitor contribution processing, loan repayments, and demographic data transmissions for accuracy Audit & Testing: Support annual U.S. non-discrimination testing; compile census data, Canadian regulatory filings and provide administrative support for year-end plan audits, for both the U.S. and Canada Compliance & Data Integrity Statutory Reporting: Provide administrative support for the preparation and filing of all mandatory reports and regulatory filings System Integrity: Support semi-annual Workday release testing and troubleshooting for absence platforms to ensure data accuracy Other duties and responsibilities as assigned Employee Experience & Leaves Level 1 Support: Serve as the first point of contact for employee inquiries regarding benefits, pensions and vacation via ServiceNow. Adhere to internal SLAs and re-direct complex escalations as needed. Onboarding: Assist with new-hire benefit orientations for employees. Maintain and update onboarding documentation on internal platforms (MyTMX and Workday) Leave Administration: Support leave processes by submitting and completing STD/LTD employer forms as directed Must Have(s): Education: Bachelor's degree in Human Resources, Business Administration, or a related field Experience: 1-2 years of progressive HR/ U.S. and Canadian benefits and pension administration experience, with a primary focus on U.S. regulations Jurisdictional Knowledge: Demonstrated experience supporting a diverse workforce across multiple U.S. jurisdictions and various Canadian provinces Systems Proficiency: Experience with HRIS platforms (e.g., Workday, ADP, Gusto, or similar) and specialized benefits administration modules Data Analytics: Intermediate proficiency in Excel or Google Sheets for data auditing and benefit accuracy. Strong attention to detail, organization, and problem-solving skills. Operational Effectiveness: Ability to manage multiple priorities in a high-volume, fast-paced environment Communication: Exceptional written and verbal skills; ability to translate complex regulatory concepts into clear, "people-first" language Salary Range: 52K/year - 60K/year CAD.
