Job Description The Department of Clinical Sciences mission is to assure the health and productivity of animals to meet societal needs through high quality educational programs for professional veterinary medical students, graduates veterinarians, and the public through a faculty and veterinary medical center of excellence, and to advance and disseminate comparative biomedical knowledge in environment of interdisciplinary collaboration. This position coordinates events and hospitality logistics for the Continuing Education (CE) Program at the Translational Medicine Institute (TMI) housed in the Department of Clinical Sciences (DCS), College of Veterinary Medicine and Biomedical Sciences at Colorado State University. Working closely with the CE Events & Hospitality (CEH) Manager and team, this position involves coordinating logistics, planning, scheduling instructional sessions and events, and managing the in-person experience for all CE Course visitors and stakeholders. This role is vital in ensuring the success of events, meetings, and courses within the CE Program. Full consideration date: The posting will remain open until filled. Essential Job Duties: Coordinate front of course operations for Continuing Education (CE) events, serving as course host and primary liaison to ensure smooth, professional, and participant focused course delivery. Support Continuing Education Health Manager with pre event planning needs, including coordination of facilities, transportation, catering, scheduling, instructor travel, and lodging arrangements. Distribute pre course materials and information to participants and ensure all attendees receive required resources prior to and during courses. Prepare, monitor, and maintain course event spaces by arranging furniture, setting up equipment, displaying materials, and ensuring spaces remain clean, organized, and ready for use and all non-teaching lab course events, such as food and external course events, adhere to scheduled start and end times, and assisting instructors and attendees in transitioning between sessions. Provide on site logistical and technical support, including audiovisual setup and coordination with IT for complex technical issues, utilize technology platforms and tools to enhance course delivery and administration. Anticipate, investigate, and resolve participant or instructor concerns, respond to emergencies according to established protocols, and ensure participant safety at all times. Manage course registration and administrative processes, including overseeing registrations, processing payments, maintaining participant records, and ensuring accurate documentation including the daily transfer of course participants' names & info from WooCommerce into the Monday.com master tracker. Assist the CEH Manager with course budget tracking, expense and revenue monitoring, inventory management, and preparation of reports on course enrollment, participation, and outcomes for stakeholders.
