Who we're looking for AirFlite, Toyota Motor Sales' aviation subsidiary, seeks a passionate and highly motivated Aircraft Dispatcher. An Aircraft Dispatcher within a corporate aviation division serves as the primary point of contact for each business flight, managing global trip planning, regulatory compliance, crew coordination, and real-time flight support. Reporting to the Supervisor of Flight Operations the person in this role will support the Dispatch department's and play a key role in helping AirFlite provide safe, compliant, and efficient services that align with Toyota's overall business goals.
Responsibilities
- Coordinate and oversee worldwide travel arrangements for passengers, flight crews, and maintenance personnel, ensuring all itineraries meet FAA regulations and align with company operational standards.
- Manage all aspects of trip scheduling within aviation scheduling software, including airport selection, permit acquisition, slot coordination, customs and immigration arrangements, and crew visa processing.
- Provide comprehensive operational support through crew briefings, flight following, duty and rest-time monitoring, and the maintenance of accurate flight logs and historical trip records.
- Execute accounting and administrative functions, including invoice processing, coding, tracking, and the generation of monthly operational and financial reports.
- Support the Aviation Maintenance Control function by coordinating travel logistics, completing AS400 data entries, and assisting with required reporting such as APU hour documentation.
- Utilizing effective communication skills for coordinating with executives, flight crews, maintenance teams, and external aviation service providers.
- Support the development, implementation, and sustainment of Safety Management System practices that align with applicable FAA guidance, company standards, and operational needs.
- Providing customer-service with the commitment to supporting 24/7 aviation operations when required.
- What you bring
- Demonstrated experience in corporate or charter aviation operations, including trip coordination and flight-support functions.
- Proficiency with aviation scheduling platforms such as FOS, BART, or comparable systems.
- Strong capability to interpret and apply operational requirements related to airports, permits, customs/immigration, and crew documentation.
- Proven ability to manage multiple concurrent tasks with accuracy, attention to detail, and sound judgment in time-sensitive environments.
- Experience in administrative and accounting processes, including invoice handling, reporting, and data entry systems.
- Ability to analyze operational information, identify issues, and make informed decisions that support safe and efficient flight operations.
- Ability to take on-call, which may require working on nights and/or weekends.
- Added bonus if you have
- FAA Aircraft Dispatcher Certificate or equivalent aviation credential demonstrating advanced operational knowledge.
- Prior experience coordinating international permits, airport slots, and customs/immigration requirements for corporate or charter operations.
- Background supporting 24/7 aviation environments, including irregular operations, AOG events, or charter coordination.
