This position has significant direct impact on revenue generation for the University, and plays a critical role with respect to legal compliance risk management. The Assistant Director supervises all activity related to analyzing, recording, reconciling and maintaining transaction information of gifts, pledges, matching gifts and adjustments as well as overseeing receipt, acknowledgement and pledge fulfillment and matching gift outreach processes. These responsibilities include developing policies and implementing procedures for accurate and timely entry of all gifts and pledges, while having a strong understanding of and adhering to IRS, CASE, PCI DSS, USNH, and departmental rules and guidelines. Job Duties: Determines and implements policy and procedures for charitable gift processing and accounting. Designs and executes processes and workflow. Gift preparation, posting and reporting of all gifts, new pledges and pledge payments made to the University. Works closely with UA Finance to manage and reconcile the feed to Banner Finance.- Compliance and Data Integrity. Ensures that federal IRS regulations and CASE guidelines are followed. Develops and maintains a dynamic manual of gift management policies, processes and procedures for gift administration. Reconciliation: Performs analysis to determine proper designations, solicitations, crediting and special handling. Primary point of contact within Gift & Data Management for financial audit. Works closely with Advancement Finance and internal and external auditors to produce required materials for all financial and business process audits. PCI DSS Compliance (Credit Card Security) Designated associate MDRP (Merchant Department Responsible Person) assigned as authority to monitor and train for PCI Compliance for the Advancement Division. Provides leadership, guidance and supervision for Gift and Data Management staff. Supervision- Prioritizes and assigns tasks and assignments that empower employees and allow for advancement. Conducts performance reviews, evaluates staff performance, and suggests validity of merit. Hires and trains new staff. Monitors overtime expenditures and makes recommendations as to funding and expenditure of overtime at peak times. Documentation and Training- Works with the Director of Gift & Data Management to produce internal policy and procedural documentation in accordance with IRS, CASE and USNH regulations and guidelines. Educates staff with gift administration duties ensuring that responsibilities are carried out during high volume times and absences. Trains new staff on gift processing procedures. Stays educated on new and emerging trends in gift processing, IRS law and reporting standards by studying their impact on existing gift processing systems. Designs and oversees implementation of programs to maximize pledge fulfillment. Pledge Reminders- Oversees pledge fulfillment process for the University (accounts receivable in the range of $70M), determining schedules and follow-up procedures. Oversees review and distribution of monthly reporting on pledge fulfillment program success and annual write-off process for major donor commitments against which fulfillment efforts have failed. Advises the development of content for all related communications. Immediate point of contact for colleagues in Advancement Services, Donor Relations, Finance and Development to resolve issues or administer special requests as it relates to donor and donation issues, including the highest level donors at the University. Creates and executes strategic plans for multiple gift revenue channels. Designs and implements the matching gift program which has revenue potential in the hundreds of thousands of dollars per year. Devises, implements and maintains a program to maximize the matching gift donations from current employers of our constituents. Determines content and strategy for matching gift marketing communications and follow-up devices. Responds to donor inquiries directly by phone or email. Makes recommendations for investment in third-party tools and data sets as well as marketing expenditures to facilitate the matching gifts program. Manages matching gift portals and gift confirmations. Payroll deduction- Collaborates with Annual Fund to determine and execute plans for streamlined processes and marketing for increased staff participation.- Coordinates payroll deduction program in conjunction with HR and Payroll. Online giving- Produces and delivers a quarterly report of online giving achievement for all campaigns and designations that are associated. Assists with creating and managing multiple online giving pages, which includes but is not limited to, adding designations to the systems as well as the correct online giving page, creating custom URLs to target specific destinations, sending email update requests to donor's whose credit cards have failed, and updating content on the giving pages.
