We are proudly part of Japan Post - www.tollgroup.com PURPOSE OF THE JOB The Ocean Freight Operations Coordinator - Import is responsible for supporting day-to-day ocean freight operations across import and domestic transport activities. This role ensures accurate documentation, timely cargo movement, and effective coordination with internal and external stakeholders to maintain service standards and operational efficiency. PRIMARY DUTIES & RESPONSIBILITIES Coordinate ocean shipments for import, including booking and documentation. Liaise with shipping lines, freight forwarders, customs brokers, and transport providers to facilitate cargo movement. Prepare and process essential documentation such as bills of lading and customs declarations. Track shipments and update internal systems (e.g., CargoWise One); notify stakeholders of delays or changes. Arrange local transport and warehouse interactions for cargo pick-up and delivery. Maintain accurate shipment records and ensure compliance with customs and maritime regulations. Respond to customer inquiries and provide booking confirmations promptly. Support invoicing and basic cost entry tasks as directed by senior team members. Assist with general administrative tasks to ensure smooth operational workflow. JOB REQUIREMENTS Essential Minimum Qualifications High school diploma or GED 1-2 years' experience in ocean freight or logistics operations (entry-level candidates with relevant training may be considered). Basic understanding of customs and maritime regulations. Familiarity with freight management systems and Microsoft Office. Strong organizational skills and attention to detail. Ability to work in a fast-paced, deadline-driven environment. Team-oriented with a proactive and customer-focused approach. Willingness to learn and take on varied operational tasks. PHYSICAL DEMANDS This position is generally sedentary in nature; involves sitting most of the time but may involve walking or standing for brief periods of time. Ability to occasionally lift to 10 lbs. required. Ability to talk and hear required. Ability to perform repetitive motions required. Ability to occasionally move inside the office. Must be able to remain in a stationary position for up to 8 hours. Ability to move or position self to reach, lift, climb, balance, stoop and crouch required. Ability to read PC screens; detect colour coding, read fine print, and/or normal type size print required.
