About the role
The Advanced Administrative Assistant is responsible for providing administrative support to leadership and employees. This includes office support, maintaining files, and dealing with highly confidential, highly sensitive information and trustworthy in handling both.
Responsibilities
- Perform clerical and administrative activities for the plant.
- Gathers, inputs, generates, reviews and/or analyzes data.
- Daily use of Microsoft Office, SAP and Oracle
- Responsible for supporting projects on an on-going basis. Coordinates multiple tasks and carries out follow-up responsibilities.
- Exhibits cross-functional resource knowledge.
- Monitor and coordinate budget responsibilities including assisting in monthly budget analysis and preparation by running reports through Oracle OBI.
- May make routine travel, meeting, and conference arrangements. May be responsible for coordinating corporate vehicles. Per request, could be responsible for assembling of materials.
- Assists with various accounting functions, workflow and Oracle processes.
- Provide all assistant services for plant leadership and facility.
- Codes all invoices to support the facility.
- Writes all purchase requests/orders to support the facility.
- Assist plant on required reporting and tracking.
- Responsible for vendor management within the facility as required.
- Responsible for assisting with planning and scheduling events in the office and community.
- Responsible for maintaining inventory and ordering of supplies and other necessary items.
- Maintains a professional attitude and work ethic in the workplace, focusing on improving quality and knowledge of work, commitment to company policies and procedures, decision-making abilities and creativity.
- Additional requirements and duties assigned as needed.
Requirements
- High School Diploma or equivalent required
- Previous administrative experience preferred.
- Extreme flexibility and comfort with changing priorities and ambiguity.
- Proven ability to work independently with minimal supervision.
- Ability to support multiple people and manage multiple priorities and deadlines in a fast paced environment.
- Experience using Microsoft Office (including Word, Excel, Powerpoint)
- Ability to manipulate, analyze and interpret data.
- Strong communication and organizational skills.
- Knowledge of Oracle and SAP preferred
- Confidentiality.
- Valid Driver's License required.
