The primary purpose of this position is to service our global clients from pre to post sales involving quotation preparation, sales conversion, order processing and support. The ideal candidate is a self-motivated individual who has a penchant for following-up and following-through, using their strong organizational skills to manage their work and collaborate effectively with others on the team. The individual is a natural when it comes to details and execution and has a strong appreciation for the importance of providing prompt attention, proactive support and professional service to our luxury hospitality clients around the world. As client correspondence and interaction will be required, the ability to communicate well in English (verbally and in written form) is essential as are diplomacy and good judgment. JOB DESCRIPTION This role primarily services and supports global hospitality clients and provides management with quotation development and sales tracking analysis. Representing the Ploh brand appropriately through accuracy in documentations produced, service timeliness and completeness in information provided is critical. Professionalism is conveyed in all forms of communication (verbal, written, personal interaction.) PRIMARY RESPONSIBILITIES Quotation Development and Sales Planning Provide support and assist in the following areas: - Preparation and development of tailored quotations and templates for global hospitality clients (key, distinct, and target accounts) and new hospitality prospects. - Coordination, liaising and follow up with current and prospective clients via phone and email to determine and reply to order needs and delivery requirements - Follow up, monitoring and tracking of quotation status with clients and where possible to help close the sale/order - Project pursuit and sales planning process activities Client servicing/support and problem solving Assist to develop, support and maintain business relations between Ploh and Hospitality clients including responsibility for: - Enabling the process of identifying and prioritizing project opportunities and developing proposals into orders - Building and maintaining industry knowledge on hospitality sector across regions (project openings, refurbishments, etc.) - Working with hospitality clients and relevant internal departments to resolve order/fulfillment issues - Updating and following up with clients as necessary regarding order, delivery and payment status. - Regular tracking of client orders within the order delivery process. Order Fulfillment and Supply Chain Support - Prepare necessary documentation for fulfillment of client orders and invoice preparation. - Ensure order specifications are consistent with quotations and client requirements - Communicate with Fulfillment and Order Management to ensure coordination with freight forwarders, manufacturing partners, agencies and internal departments for shipping timing, packing lists and documentation - Review necessary shipping documentation for use with clients, forwarders and customs - Coordinate with Order Management and Finance departments for documentation and invoicing and at times, payment collection support
